ACA HOURS REPORTING QUICK GUIDE (Supervisors)
This guide provides instructions on how to review and approve your GRAs compensable and non-compensable hours in
order to remain in compliance with the Affordable Care Act (ACA). This report is used solely for tracking of hours for ACA
purposes.
Step 1: SNAP Log In
1. Visit the site at: https://snap.sdbor.edu (or from Insidestate, click the SNAP icon)
2. Use your SNAP credentials to login
a. Username: fmlastname (example: John P Jackson = jpjackson)
i. If common or short last name or no middle name, username may include a number or be
different (example: jpjackson01; jojackson)
ii. Username can be verified by contacting either Payroll (6969) or HR (4128)
b. Initial Password: Date of Birth in MMDDYY format (example: 062095)
c. After initial log in—will prompt user to create a new password
d. If account is disabled/inactive—contact Payroll (6969) or click the link to reset password
Step 2: Access Reports to Approve

On the HR tab in SNAP, find the Time Approval channel
The Leave Report is used for ACA Compliance tracking
ACA Monthly Reports follow the monthly payroll calendar, 22nd – 21st of the month
Approval of ACA Monthly Reports is due on the same dates as announced for time sheet approval
Select the ACA Monthly Report under the Leave Report section (example 8/22 to 9/21 is Monthly 9 Report) to
review reports pending your approval
Step 3: Review and Approve Hours
1. Select the employee’s name from your list of “pending” reports
2. Review the hours submitted
a. If incorrect, select “Return for Correction”
b. If correct, select “Approve”—Once hours are approved, the process is complete and hours
CANNOT be changed
c. Select “Add Comments” to add notes regarding the Monthly Report
3. Approve all hours by 5:00 pm on the 22nd of the month
4. If the 22nd is on a weekend or holiday, the due date will change—check with departmental payroll staff
5. The status of the Monthly Report and your supervisor information will appear after it is submitted.
