Project Management Office (PMO) Charter
Scope
Support of the Business Systems requires minimum collaboration of 14 teams. Through coming
together in the PMO, these teams work together to resolve operational problems, recommend and
implement changes to the SAP environments and Non-SAP Business Systems.
Roles and Responsibilities
1. Project Management / Project Execution
 Evaluate Request for Service (RFS) from the business community and support teams. Add
projects to the project master plan with an appropriate priority and inform the Business
Systems Advisory Committee (BSAC) for their concurrence. If the PMO is not in agreement
with approving the Request for Service (RFS), then the request will be deferred to BSAC.
Include non-PMO members in the discussion of RFS’s as needed.
 Monitor the progress of prioritized projects. Review scope, schedule changes and negotiate
resource conflicts as necessary. Communicate the changes in priority and progress of
projects to Business Systems Advisory Committee (BSAC).
 Align team activities with Business Systems Steering Committee (BSSC) Strategic Plan.
2. Maintain Operational Credibility
 Consider the status of all operational issues that are logged with SAP (OSS Messages) and
determine whether escalation is appropriate, either by SAP or University staff.
 Review information about proposed Enhancement and Support Packs from SAP to
determine applicability to the University’s implementation.
3. Communication
 Review the need for and approve service disruptions and maintain calendar of events for
the SAP systems.
 Relay issues and concerns to and from constituents and stakeholders for the areas the
member represents at the PMO.
 Understand and champion the efforts of the PMO to ensure integration of business
processes and supporting systems across business organizations, so that resources work
together to accomplish goals.

There is a request for a project update. The appropriate PM would attend.
The PM has a project issue that needs to be addressed by the PMO. Examples are integration points and resource
needs across teams.
The PM sees an agenda item that might impact their project.

Provide effective communication to the Process Owners, Requestors, Business Systems Advisory
Committee (BSAC) and Business Systems Steering Committee (BSSC) for approved RFS’s, project
progress and changes in priority.
Meetings
The PMO meets weekly on Wednesday at 8:30 AM.
