PUBLIC INFORMATION ASSISTANT IV
NATURE OF WORK:
Position serves as the point of entry to the agency for all clients making an office visit. This individual receives
clients and other individuals, as well as telephone calls, answering questions, which may include explaining general
program policies and procedures to the general public, resolving complaints and referring them to the proper
destination. Public contact involves assessing, interpreting, and responding to situations which may require worker
assistance. Screening procedures, extensive program knowledge and computer skills are essential in the performance
of this position.
Position will be responsible for running various monthly statistical reports from state mainframes, preparing various
monthly statistical reports and running various letters, memos and correspondences in reference to DSS from state
mainframe.
Position will assist in performing clerical support for various Social Services programs, which includes but not
limited to preparing quarterly reports, monthly billing and letters to clients. Position is responsible for creating,
maintaining and filing for Intake programs. Such duties include creating files for new clients, pulling files for
existing clients and filing the files in the appropriate areas.
Worker receives supervision on as-needed basis with on-going training. Worker attends regularly scheduled unit
meetings and individual conferences with supervisor. Physical effort is required daily to open and close large heavy
file drawers and physical pressure is required to extract file folders. Worker may also need to lift and carry small
children and/or car seat, or assist elderly/disable persons who require ambulatory care to or in office.
Worker must frequently use and have working knowledge of office equipment such as telephone, calculator,
computer, printer, copier and fax; this includes clearing paper jams and other maintenance functions. Worker is
contact person for equipment vendors and maintenance.
Visual attention in position is very important to help assess client’s physical and emotional condition, physical
surroundings, living conditions and interaction of client with caretakers. Mental concentration is essential when
interviewing clients to assess needs. Worker must be cognizant of verbal and nonverbal language of clients to
accurately determine needs of clients and also detect problem behaviors or hostilities before they are out of control.
Worker will be required to participate in emergency shelter management in the event of a man-made or natural
disaster.
Worker is responsible for performing other reasonable tasks as assigned by the supervisors and/or director.
The worker must have the ability to establish and maintain effective working relationships with Supervisors,
coworkers, and clients (in caseload), as well as civic, legal, medical, social and religious organizations and area
service providers. Worker must possess ability to express clear and concise ideas, plan and execute work effectively.
Worker needs extensive knowledge of area and community resources to make necessary referrals and plan service
provision. Creativity is often required to develop needed services with limited resources. Worker must be able to
work independently and multi task.
REQUIREMENTS:
Worker must be a high school graduate and demonstrate possession of knowledge, skills and abilities gained through
at least two years of office assistant/secretarial experience; or an equivalent combination of training and experience.
