2. Processing Photoreproduction Work. When photoreproduction work is
ordered, a Photographic Work Requisition, form FS-R1-7140-1 (in quadruplicate)
must be filled out and submitted to the Engineering Photoreproduction Section for
processing. For special orders, walk-ins or telephone, a requisition must be filled
out completely at that time by the Photoreproduction Section. If all information is
not available, it must be received before the requisition can be processed.
a.
Instructions for filling out form FS-R1-7140-1:
(1) Charge To. Fill in with Unit number and name (for example,
05-Clearwater, 51-Engineering).
(2) Accounting Code. Identify accounting charges to be used by
assignment of a proper management code.
(3) Ship To. Show individual or organization to receive finished product.
(4) Address. Show where to send finished product.
(5) Date Desired. Show date work is absolutely needed.
(6) Ordered By. Individual ordering should sign legibly.
(7) Title. Show title of ordering individual.
(8) Order Date. Show date requisition is prepared or verbal order was
made.
(9) Requested by. Give name and phone number of person or persons
the Photoreproduction Section should contact with questions concerning the
order.
(10) Requisition No. Ordering Unit requisition number (units should
account for all numbers).
(11) Description of Work. To be filled out by ordering Unit. Clearly
describe work desired and identify the job on requisition in the event the job
should become separated from the requisition.
(12) Photographic Lab Record. To be filled out by Photoreproduction
Section.
(13) Estimated Obligation. To be completed by ordering Unit for firm
obligation figure.
(14) Accounting Classification. To be completed by ordering Unit for
obligation and payment purposes.
b. Estimating Cost and Billing. Whenever possible, the estimated cost
of work will be completed by the Unit. If the Unit does not have the
R1 SUPPLEMENT 6509.11f-99-1
EFFECTIVE 04/29/99
6509.11f,50
information needed, an estimate can be obtained from the
Photoreproduction Section. Estimates will be based on rates established in
this supplement. Engineering will bill from the Photographic Laboratory
Record section of form FS-7140-1 based on rates established in the provided
list of rates below. If the billing does not vary from the estimate more than
5 percent for orders of $25 or less, the estimate will be the amount billed.
This will provide a better figure obligation for obligation purposes.
c. Prework. All photo requisitions should have all necessary prework
completed when submitted for processing. If the Photoreproduction
Section must perform the prework, Units will be billed for the work at a
predetermined hourly rate.
d. Final Billing. Where feasible, all photo work including aerial
photography will be billed by Engineering when the job is completed.
Partial billings will be made by request only. If a job is to be completed in
phases, a requisition should be submitted for each phase and billed when
each particular phase is completed.
e. Unfilled Orders. By August 15 of each year, all requisitions covering
work needed prior to September 30 must be in the Photoreproduction
Section. By September 1, the Photoreproduction Section will advise each
ordering Unit whether or not their requisitions will be completed by
September 30 for obligation purposes (see FSM 6553 for further
instructions).
