Delivery Policies All IFD trucks will be equipped to satisfactorily and safely deliver to Saint Paul Public School sites, regardless of the setup of the delivery and receiving area. For sites with delivery docks, the IFD truck will be equipped with a pallet jack. For sites without delivery docks, IFD will have the necessary equipment, such as but not limited to hand trucks, dollies and utility carts. Regardless of the configuration of each site’s delivery and receiving area, IFD will ensure all deliveries are done safely, efficiently, and to the satisfaction of Saint Paul Public Schools. If requested, the driver will “set the orders in place” in the designated storage area as directed by the Saint Paul Public Schools Pallets will be exchanged at the time of delivery. IFD will complete deliveries by the time and date on the order. In an emergency situation, the driver or Customer Service will contact Saint Paul Public Schools and/or the affected sites no less than one hour before the end of the receiving time. The delivery will be rescheduled to meet the needs of Saint Paul Public Schools. IFD will allow Saint Paul Public Schools to inspect and verify deliveries. The IFD Contract Manager, in conjunction with the Transportation Supervisor, will review any operational and transportation variances and make adjustments accordingly. Invoices It is IFD's practice to deliver invoices with deliveries. All invoices will include the customer account information including a purchase order number if required, quantity shipped, product description, brand, pack size, product code, price per case totaled by line and extended to an invoice total. Returns / Credit Memos Requests for product credit should be called into IFD Customer Service with the reason for the return. The credit memo will be set for pick up with the next scheduled delivery. IFD’s Customer Service Representative will monitor all returns and follow through to ensure products are picked up. In the event that IFD is required to pick up product, a copy of the credit memo will be left with the site at the time the product is picked up. If pick up of product is not required, a credit memo will be emailed to the site. IFD’s delivery drivers are able to issue a credit memo, or make adjustments to the delivery invoice for shortships, over-shipped quantities that were invoiced, miss-ships, spoiled products, short-dated products, expired, or damaged products at the time of delivery. If a credit has to be written when the driver delivers the product, the credit is indicated right on the site’s invoice with total quantities and total price. When a site discovers that they were shorted or there is a problem with an item after the driver leaves, the site will call IFD Customer Service and a credit memo will be written. Perishable items require prior approval before return can be made. Drivers cannot pick up product from prior deliveries without the proper paperwork from Customer Service. Security IFD's Transportation Supervisor will review specific requirements with each site. IFD will provide a designated driver pool to this contract. Each Driver will be subject to a background check, wear an IFD uniform, wear an official IFD picture identification badge easily visible on their uniform, and be trained on each site’s identification needs, security restrictions, delivery time restrictions, site requirements, vehicle security, and safety policies. The driver will provide a valid driver’s license upon request. The driver will not have in his possession any drugs, alcohol, tobacco products, or weapons. Delivery drivers participate in regular training to enhance their Customer Service skills. IFD’s dedicated Drivers are available via cell phone, in accordance with IFD’s Cell Phone Use Policy. IFD will adhere to security requirements when deliveries are made to all sites. IFD Employee Screening Procedures Background Checks for Drivers Motor Vehicle Record Commercial Driver license information list Statewide Criminal Search Nationwide Criminal Search, includes Sex offender search Wanted Persons Security Search IFD will maintain printed copies of the required background checks and other information on file for a minimum of six years. If requested, IFD shall provide the results of the background checks to Saint Paul Public Schools. Additionally, should any sites require access badges for entry, IFD has a strict Access Badge Policy that is designed to ensure proper chain of custody and prevent loss or breach of Customer safety. Delivery Conditions Products will be transported at the proper storage temperature in clean sanitary conditions in compliance with the IFD HACCP program. Trailer temperature will be in the following range throughout the transportation and delivery process: Trailer Temperature Ranges Food Type Temperature Range Frozen Foods 0 degrees F Refrigerated Foods 34 to 40 degrees F Grocery and Dry Goods 35 to 40 degrees F IFD drivers record the temperature at time of delivery on the driver manifest. All of our trailers have multitemperature control capability. IFD trailers are equipped with Thermo King’s TracKing units. Through the TracKing units, IFD is able to monitor in real time the location and temperature of each IFD truck and trailer. TracKing allows IFD to thoroughly monitor temperatures. Proper temperature ranges are established for each section of the trailer. Should a temperature deviate from that range, TracKing will send an alarm to IFD and the driver, and corrective action can be taken either by the driver on site or by IFD Operations personnel remotely via a 2-way control. Product Management System With IFD’s password protected, easy-to-use, point-and-click e-InFoLink Product Management System, product inquires can be made 24 hours a day, seven days a week from any computer with Internet access. e-InFoLink is entirely internet-based and free of charge to Saint Paul Public Schools. No software installation is required. It provides full product catalogs, order guides, inventory management tools, access to extended information on products, multiple search capabilities, report generation. All schools will have the capability to view, under each item, additional information on the order guide or in the electronic catalog including: Ingredients, Nutrition, Allergens, Preparation, Shelf Life, Religious Classifications, and Child Nutrition Statements. You can print and/or view price and order guides through an e-commerce web-based online management system.
