Emergency Services Training Plan Last updated 12/20/2011 by Elizabeth Edwards Overview ASAP is Cone HealthLink’s Emergency Department and Urgent Care electronic documentation application. The Emergency Services 600+ employees will receive role-based workflow training spanned across the Track 2a and 2b go-lives. Of those end-users (EUs), the Cone HealthLink (CHL) ASAP training team will assess that EUs have the necessary skills for navigating and documenting in the system proficiently. Employees will be granted access to CHL when they attend the entire training track designed for their role, pass a comprehensive test at 80% or higher, and pass a proficiency checklist at 80% or higher. Those who do not meet the 80% standards will be offered additional training and an opportunity to retest. On the rare occasion that someone has recently been through an Epic implementation in a previous hospital, this person can take the test first and will be exempt from training with a passing score. This person would still need to also pass the proficiency checklist. Cone Health System’s Learning Management System (LMS), NetLearning, will be used to register and track employees’ progression throughout CHL training. The LMS will host the computer based and instructor led materials, along with associated tests and checklists. Through Staff Education, Department managers are provided separate training on how to register and track their employees’ progression. Training and Go-Live Timelines Specific training dates are determined by a site’s go-live date. Credentialed Trainers (CTs) undergo training on CHL for approximately 5 weeks, and they are dedicated to CHL’s training of Super Users (SUs) and End-Users (EUs) for an additional 10 weeks. The timeline below shows, if supplied by your department, when your employees will go through CT and SU training in preparation for EU training. After attending all ILT, garnering proficiency in CHL, and submitting an evaluation of the courses, your information will be provided to AHEC to process. Once AHEC has had an opportunity to process your CME credits, you will be able to access your certificate through MyCE Area from the AHEC website, http://www.gahec.org/. CEs Continuing Education credits for nursing, at present, will not be offered. However, discussions regarding nursing and ancillary CEs are ongoing, and the CHL training team is working hard to make them available. Optimization Labs Provider Optimization Labs Comments from a number of other hospital providers reveal that they were more successful when they participated in an optimization lab where providers can customize their EMR interactions based on their personal preferences. While optional, Cone Health will provide you with an optimization lab after training, but before go-live. Below is a brief synopsis of each: 1. Principal Trainers (PT) – CHL has 13 dedicated PTs that are Epic certified both in the applications and as a trainer. The PTs are responsible for creating lesson plans, quick-start guides, tests, assessments, and other aids. The PTs also will create and maintain the Master Training Environment (MTE), along with various Actual Classroom Environments (ACE) used during EU training. The PTs are responsible for verifying EU assessments and granting access to the system after training is successful. Application Leads can also grant access to the system if a PT is unavailable. 2. Credentialed Trainers (CT) – Given the volume of training that takes place as close to go-live as possible, the Principal Trainers (PT) will need to be supplemented with Credentialed Trainers (CT). These CTs will be credentialed by the PTs through a rigorous 5-week training program both on the applications and adult learner modalities. CTs are expected to teach end users in classes, provide assessments, and be a resource during the dress rehearsal and go-live weeks. The CTs can be drawn from the hospital system or the local community (i.e., retired school teachers, former American Express trainers, or current Float Pool personnel). 3. Super-Users (SU) – A Super-User is involved in various aspects of the implementation process and will also serve a long-term support role. The SU assignment is in addition to an employee’s current position. Service as a Super User will be considered at job evaluations and potential promotions. This is a temporary assignment created to provide each department with EU support during training, go-live, and after go-live. During EU training, the SU will serve as “coaches” in the ILTs, assisting the trainer by helping the EUs. Super Users cannot provide assessments. At go-live and beyond, the SU serves as a resource to other EUs with application questions. SUs will receive ongoing training yearly. The SU is the main source of go-live support. 4. End-User Plus (EU+) – Most providers are not able to commit to the full Epic recommended 240-hour Super User time commitment, but recognize that provider-to-provider help is important, especially at dress rehearsal and go-live. Therefore, we have created an End-User + program for providers. This 16-hour program, taken in 4 4-hour blocks, immerses the provider in the EMR with a dedicated trainer. These providers would garner their proficiency training during their End-User + time commitment. After proficiency, these End-User + providers would be available to assist fellow providers one-to-one as needed during dress rehearsal, go-live and beyond. Page 10 Attachment 2 – Resident training Last updated 12/20/11 Residents – OPC, FPC, Pediatrics Residents who have full privileges in our healthcare system will be trained with other providers where practical. To train Residents with a limited time at our organization (typically a month or less per year), we will use a combination of e-learning and classroom training, leveraging existing Residents’ meetings to train users, along with classroom instruction to bridge any gaps. All Residents will need to pass the written and performance assessments for their roles at the same proficiency thresholds as other providers. WF Residents Since WF residents will be practicing at Cone Hospital, they will have already been through Baptist’s Epic training. In this instance, they will be granted CHL access after garnering a passing test score and demonstrating proficiency in ASAP. Page 11
