Job Description – Finance Officer The Poetry Society Job Title: Reports to: Staff managed: Finance Officer General Manager None. Location: London office Hours: 3 days (21hrs) a week. Post Objective: To ensure sound financial day to day management of the Poetry Society and Poetry Place Ltd. Main Duties: • Basic bookkeeping using Sage, maintaining up-to-date processing routines on all financial sub-systems • Updating of spreadsheet records on web sales and credit card transactions (income and outgoings) • Payment processing and raising invoices, processing online bank payments and cheques • Managing petty cash systems • Any associated account reconciliations and schedules that will assist in the preparation of management and financial accounts of the Society • Work with the General Manager preparing annual budgets • Work with staff in preparation of budgets and reports (eg. for externally funded projects). • Process financial information and prepare monthly management accounts for General Manager • Do banking, dealing with day to day banking needs. • Prepare monthly data and liaise with external payroll services provider, Inland Revenue, pensions providers and other relevant bodies • VAT returns and related dealings with HMRC • Work with staff on development and costing of Society’s products and resources • Providing year end information to support the preparation of the audited accounts • Preparing cash flow forecasts as required • Assisting General Manager with credit control and monitoring budgets on a monthly basis • Attend meetings as required • Undertake any other duties as may reasonably be required to deliver the Society’s objectives. Work in compliance with the organisation’s policies at all times. Carry out all financial accounting (bookkeeping) for Poetry Place Limited, including: • Preparation of the monthly bank reconciliation • Assisting the Café Supervisor with credit control • Maintaining financial records on Sage. • Creating monthly management accounts • Administer Poetry Place payroll Essential knowledge, skills, experience: • Applicants should be fully qualified AAT or part qualified (CIPFA, ACCA, ACA/ICAEW, ICAS, ICSA) and have relevant experience of the creative or charity / not-for-profit sector. • Experience of using Sage Line 50 or similar accounts packages. • Advanced knowledge of Excel. Confidence in using and learning other appropriate software programmes (eg. Payroll manager, Word, Powerpoint) • Knowledge of Charities SORP2005 and SORP2015 • Applicants will need to demonstrate experience of financial management at both a day-to-day and strategic level, including experience of managing numerous project budgets. • Good inter-personal skills and flexibility to work as part of a small team • Excellent numeracy. Highly organised with attention to detail and accuracy. • Good communicator – phone, face-to-face, written General Salary range: £26-28K pro rata Start date: ASAP Probationary period: 6 months Hours: 3 days (21hrs) p.w. Normal office hours are 10am – 6pm Monday to Friday. Holiday entitlement: 20 days p.a. in the first year plus statutory public holidays and Poetry Society Christmas leave on a pro rata basis.
