Primary Objectives:

Ensure Kaplan UK’s key regulatory obligations regarding its staff and students are met
Make Kaplan UK a great place to work
Efficiently and effectively meet the human resources needs of Kaplan UK’s senior leadership
team, managers and employees
Responsibilities:
Your team
- Establish and maintain an effective team
- Ensure the team members understand their/HR’s/Kaplan UK’s priorities, and are engaged
- Carry out the company’s annual objective setting, performance and development processes,
as well as all general day to day people management processes
Operations
- Ensure all of Kaplan UK’s new employee procedures are carried out (e.g. recruitment
authorisation, eligibility to work in the UK, CRB checks, contracts, references, and other key
documentation and data entry)
- Ensure all compensation and benefits administration is carried out efficiently and accurately
- Ensure all requests from managers and employees are dealt with efficiently and effectively
- Ensure all HR records (hard and soft copy) are kept up to date and in good order
- Ensure all HR reports are produced accurately and issued according to schedule
Audit/compliance
- Ensure integrity and fulfilment of regulatory responsibilities is always a key focus of the team
- Ensure the HR team and Kaplan UK’s managers follow all key HR compliance procedures
- On a monthly basis, conduct and record a full review of all new employee files
- Carry out full CRB audits across Kaplan UK biannually (with mini-audits in alternate quarters)
- Support the head of HR with the quarterly audit of key HR documentation

Performance management
- Promote the alignment of management and employee objectives with The Kaplan Way
priorities of Student Success, A Great Place, Continuous Transformation & Shared Values
- Assist managers in setting effective SMART objectives for their teams
- Ensure the timely completion of Kaplan UK’s key performance and development processes,
and provide guidance and feedback to managers regarding quality
- Encourage/support managers in developing and progressing high performance employees
and in effectively addressing underperformance
Change management
- Be proactive in identifying and responding to forthcoming regulatory, competitive,
commercial and economic changes which will impact upon the ways in which Kaplan UK
manages its human resources
- Act as an agent for continuous positive change within Kaplan UK
- Support and guide managers through relevant changes taking place within their businesses
Advice, employee relations & litigation
- Provide advice and support in relation to recruitment and selection, probation,
performance, conduct, capability, redundancy, grievance, equality/diversity/inclusion, and
all other HR and ER issues which arise
- Coordinate Kaplan UK’s response and/or defence of Employment Tribunal claims
- Ensure the ER tracker is kept fully up to date with all significant issues/cases which arise
- Use your judgement to delegate or escalate issues/cases as appropriate
Central responsibilities (shared between the two HR managers)
- Ensure a comprehensive, up to date and high quality suite of policies and guidance
documents is available to Kaplan UK’s managers and employees via the intranet
- Continually review and improve Kaplan UK’s new starter processes & documents
- Continually review HR reporting requirement and improve quality & efficiency
Central responsibilities (each to be allocated to one of the HR managers)
- Coordinate Senior Management Bonus Scheme processes (e.g. objectives, documentation,
assessment & payment)
- Ensure Kaplan UK’s processes are compliant with UKBA requirements (e.g. new employee
checks, re-checks for staff with limited leave to remain, specific tier 2 obligations)
- Operate a high quality and effective Kaplan UK careers web page and application form
- Manage and continuously improve Kaplan UK’s benefits offering (e.g. supplier
arrangements, processes, access to & quality of information, value for money, new options)
- Manage the annual employee survey process
- Manage the annual performance management & appraisal processes
- Regularly review Kaplan UK’s arrangements with freelancers to identify any employment
issues, and ensure the documentation and communication is effective and of high quality

Improve the efficiency and accuracy of the HR information systems (e.g. files, ADP & PS)
Manage the annual salary review, discretionary bonus, and benefits statements processes
Move all HR forms online and maintain a high quality HR intranet site
Ensure all employment processes sufficiently protect children and vulnerable adults
Manage and continuously improve Kaplan UK’s management development offering

Key Requirements:
- Strong technical HR knowledge (e.g. employment legislation and its practical implications)
- Significant ER experience and ability to deal effectively with ER issues
- Effective at managing change and delivering on projects
- Sound management skills
- IT literate (HR packages, word, excel, outlook)
