Memo TO: Dr. Kristopher Lotier FROM: Julie Anne Rohrbach DATE: January 30, 2015 SUBJECT: Business Correspondence Project I wrote the memo based on question 3. I found it a little difficult to do this part of the assignment because I had never heard of a memo, so I have never written one. Most of the information I needed to include in the memo was given in the situation, which helped because I just needed to inform my boss about when the new interviews would be. I started off by having that information in paragraph form but then changed it to bullet form, so it would be easier and faster to read. I used a very direct approach because there was minimal information and that’s all Mr. Kaufman asked of me. I wrote the email based on question 2. I did not have much trouble with this portion. I explained what the current holiday policy is then what the new one would entail and asked the employees to get back to me by a certain date for their opinion to count towards the decision. This email was very direct by being as short as possible, while still including all the necessary information. I wrote the letter based on question 8. I found this to be a little difficult because the scenario included a lot if information that should be included in the letter while also giving the bad news. I started off the letter by stating that Carnival was changing their policy and broke the bad news to her as soon as possible. I then explained the new policy and told her about the family-oriented packages. I used the next paragraph to explain how well of a business Carnival is and how much they need her help in being that great business. I gave negative news but tried to soften it by explaining that Carnival still needed and wanted her business just for a different product. I rewrote my entire letter after the peer review, which helped in a positive way. To: All Employees From: Julie Anne Rohrbach Subject: Changing Holiday Policy Good Afternoon, Management has come up with some improvements to the current holiday policy and would like your help in deciding whether or not to implement them. The current policy has one floating holiday that is decided company-wide and every employee has off that day. Within in the new policy, each individual employee would be able to decide his or her own floating holiday. The one exception with this policy is if two people from the same department request the same day off, the employee with seniority would be granted the request. If you could email me which policy you prefer by February 1st, it would be helpful for including every employee’s opinions in the final decision. If you have any questions, please do not hesitate to contact me. Thank you for your time and enjoy your day, Julie Anne Rohrbach 1203C Nittany Apartments State College, PA 16801 January 30, 2015 Sheryl Kiklas All-World Travel Agency 440 East Broadway, NY 10014 Dear Ms. Kiklas, All-World Travel is one of Carnival’s best customers and we appreciate everything you do for us. We are currently undergoing some changes with our current guest policy; detailed below. Carnival has been receiving complaints that guests of the high school and college age are causing a disturbance aboard the ship. Due to this new policy, I can no longer assistant you with preparing spring- and summer-break packages for the younger demographic. Within our new policy, no one under the age of 21 will be allowed on board unless accompanied by an adult above the age of 25. If they try to board, they will be turned away at the dock and not given a refund. This new policy is to try and mitigate the amount of unaccompanied minors on board. Carnival has the most customers of any other cruise ship and over 98% of our customers are well satisfied with their visits. We are looking to make our cruise ships more familyoriented and would appreciate your help in doing so. Your business is very important to us and we would like to continue working with you. Carnival takes pride in being a fun and relaxing cruise ship and could not accomplish this without you. I am sorry for any inconvenience this new policy may cause for you. I will call you the week of June 5th to talk about the family packages and clear up any questions you may have. I have attached a schedule of the Spring and Summer cruises, for your convenience. Thank you for your time and I look forward to talking to you. Sincerely, Julie Anne Rohrbach Enclosure
