Supervisor Timeline
9:30 –
9:45
Tables (3)
 place two tables to the left of the double doors to create the KidCheck Station & Welcome Desk area
 place one table in the children’s hall for the curriculum materials
KidCheck Station Set-up
 assist the KidCheck volunteer set up the computers
 computers should be set up no later than 9:45am so that GTKids volunteers can check-in and print a
nametag as they arrive.
Clipboards (7 + 1 supervisor)
 ensure that the classroom specific clipboards contain the following:
-attendance sheet
-incident report
-classroom manual

During
the
service
Curriculum Table
 the curriculum table should have the following items visible for volunteers:
-blue curriculum box (place lesson materials from blue folder into the curriculum box)
-incidentals in Ziploc bags for toddler & preschool
-clipboards laid down with pens
-First Aid Kit
Volunteers
 ensure that all the volunteers are present
 in the case that a volunteer does not show up, contact them by searching their cellphone number in the
KidCheck database and calling them
 assist with any classroom set-up needs
Gather volunteers for team meeting in the hallway
Pray together as volunteers; read announcements on 2 nd page of “Sunday Team”
Open classrooms
 stand near the double doors and monitor parents entering the hallway and ensure that they are wearing a
name tag
KidCheck Teardown
1. Click “close” at the top right of the KidCheck screen.
2. Supervisor must enter email and password to complete logout.
3. Click the “shutdown” icon on desktop to shut down the computer.
4. Unplug all equipment.
5. Return mobile hotspot and charger to small white box.
6. Pack all equipment neatly back in storage bin with computers at the very bottom.
7. Return storage bin immediately to the closet so that it is not simply left unattended in the hall. Place it near
the front of the storage closet so that it can be easily retrieved the following week.
1. Monitor the GTKids area. If someone is not wearing an approved nametag, they are not allowed to enter the
Children’s Area.
2. Monitor classroom ratios for Supervisor using the welcome desk computer. Call the on-call parent if the ratio is
being exceeded.
After
the
service
3. Ask the Welcome Desk volunteer to text parents at the request of volunteers or Supervisor.
1. Ensure that all people entering the GTKids area have a guardian label. Do not let anyone who does not have one
into the area until the Supervisor has let you know that every child has been checked-out.

2. Once every child has been checked out, the following tasks are your responsibility.
a. Final sweep of all of the classrooms
b. Pack attendance sheets, incidental materials, and the blue folder in the black bag and send home with Jenn Cho

 GTKids Welcome Desk Banner goes to the right of the Welcome Desk facing the main entrance of the
church.

Last Call for Children
 after children have been dismissed from the auditorium, move Welcome Desk into GTKids hallways, 5 feet
inside the double doors
 move the GTKids Welcome Banner to the hallway just outside the double doors
 move one computer with the Welcome Desk to check-out children and two iPads to monitor classroom
ratios
 put away the remaining KidCheck devices & the Check-in banner
1. Monitor the GTKids area. If someone is not wearing an approved nametag, they are not allowed to enter the
Children’s Area. If there is a problem or you feel uncomfortable about asking people, please get the Supervisor.
2. Monitor classroom ratios for Supervisor using the welcome desk computer. When ratio is being exceeded please
let the Supervisor know.
3. Text parents at the request of volunteers or Supervisor. The parent’s cell number will appear on the child’s label.
After the
service

a. Take down and put away the banners
b. Take down and put away the signs.
c. Put away all folders and items on the Welcome Desk into the appropriate boxes.
d. All welcome desk boxes must be put in the stairwell area or in the storage room hallway.
e. Put away table and chairs.

Station Set-Up
1. Remove all equipment from storage bin
2. Plug in the orange extension cord in the outlet of the children’s hall and connect to the power bar
3. Remove the mobile hotspot and charger from small white box, plug in and turn on power (password is
81467230)
4. Plug in three laptops
5. Connect a barcode scanner to each computer to first two computers
6. Power up both laptops and click on the KidCheck icon on the desktop
7. Supervisor must enter email and personal password to log in.
8. Once logged into KidCheck, click on the “check-in” tab.
9. Under “templates” you will see 10:30am Worship Service and beside it on the right, “start check-in.”
10. Click on “start check-in.” You have now set this computer to be a check-in station.
11. Repeat KidCheck login with the second and third computer
12. Open up two iPads to “Check-in Assistant” (passcode: 4141)
Manning the Station
 help new families/volunteers check into KidCheck using the cellphone numbers
 help families create a scan key for faster check-ins in the future
 troubleshooting any technological problems
