Student Employment Changes for Fall 2011
Beginning in the fall semester 2011, the student employment process is changing to become
more streamlined. In order for the Human Resource and Payroll Offices to make this transition,
the following steps will need to be completed by both new and currently employed
students. Please see the below list of instructions for details.
NEW Student Employees:
 Payroll forms are to be completed prior to beginning employment and submitted to the
Human Resource Office. Forms are located on the Payroll Office website,
http://roanoke.edu/A-Z_Index/Business_Office/Payroll.htm . Please complete the
following payroll forms:
 Student Job Placement Form (to be completed by supervisor)
 VA Employment Commission
 Federal W-4
 Virginia VA-4
 I-9 form (Must present original document(s). Please review the list and have
documents available prior to visiting the Human Resource Office. Copies will not
be accepted and employment will be delayed until the requirements have been
met.)
 Direct Deposit Form
 Please complete the above forms prior to coming to campus if possible. You may need
help from your parent/guardian when completing these forms.
 The Human Resource Office will enter the completed forms into the system. Once
complete, they will notify the supervisor that the student employee has been cleared to
begin work. (NOTE: The student employee will NOT be able to begin their
employment until this step has been completed.)
 If you have more than one student position on campus, a form will need to be completed
by each department supervisor. Please work with each supervisor to ensure this has been
completed.
RETURNING Student Employees:
 The “Student Job Placement Form” will need to be completed by the supervisor and
submitted to the Human Resource Office. This must be completed prior to working in
the fall term.
 The Human Resource Office will enter the completed form into the system. Once
complete, they will notify the supervisor that the student employee has been cleared to
begin work. (NOTE: The student employee will NOT be able to begin their
employment until this step has been completed.)
 If you have more than one student position on campus, a form will need to be completed
by each department supervisor. Please work with each supervisor to ensure this has been
completed.
We would like to emphasize that the completion of this new process will streamline the current
payroll system for all parties-students, supervisors and the Human Resource and Payroll
