EXHIBITOR CONTRACT CONDITIONS
Application and Eligibility: Exhibitor Applications will not be confirmed without receipt of complete payment. Children
and Family Futures (CFF) has the right to reject any application it feels is not applicable to the scope of the conference.
Assignment of Booth Space: Exhibit space assignments will be made on a first-come-first-served basis. Payment in full
must accompany the Application to Exhibit. Applications not accompanied by the appropriate fee will be delayed in
processing and space assignment. All exhibit booths will be located adjacent to the plenary session hall, in a maximum
activity area, and will also house concession stands for Continental breakfasts and refreshment breaks. CFF reserves the right
to rearrange the floor plan and to relocate any Exhibit at any time prior to the opening of the Conference.
Booth Equipment: Standard 10′ x 10′ booth equipment will consist of one 6′ skirted table, two side chairs, one 8′ high
backdrop drape, two 3’ high side rail drapes, one wastebasket, and one exhibitor ID sign displaying the organization’s name
and booth number.
Booth Rental Provisions: Exhibitors will be listed in the Conference Program. They will also receive one complimentary
registration per booth space and will be provided with standard booth equipment indicated under “Booth Equipment” above.
Cancellations: If the exhibitor is unable to occupy and use the contracted exhibit space, 50% of all fees paid by exhibitor
will be refunded if CFF is notified in writing by December 1, 2006. No refund of any fees will be made if cancellation is
received after December 1, 2006. All refunds will be issued following the conclusion of the Conference.
Care of Exhibit Space: Exhibitors must keep in good order and neatly maintain the Exhibit space for which they have
contracted. Exhibits which include operation of audiovisual equipment or any noise-making machines may not operate the
equipment in a manner that will disturb other Exhibitors and their patrons.
Decorating and Shipping: CFF will provide each exhibitor with a detailed service kit from our General Service Contractor,
Freeman, who will handle all exhibit equipment and electrical service requests. This kit will include shipping information as
well as additional services available.
Direct Selling: In the event that an Exhibitor engages in on-location transactions, the Exhibitor will be responsible for
complying with all federal, state and local laws governing sales tax and laws that pertain to such sales.
Exhibitor Setup: Exhibitors will have access to the exhibit area for setup on Tuesday, January 30, 8:00 am to 5:00 pm.
Exhibit Displays: Exhibits will display daily, beginning on Wednesday, January 31, 2007 from 7:30 am to 5:00 pm, and
continue through Friday, February 2, 2007 ending at 12:30 pm.
Exhibit Breakdown: Exhibits will be required to depart on Friday, February 2, 2007, no later than 7:00 pm.
Insurance: Exhibitors who desire to carry insurance on their Exhibits must secure insurance at their own expense.
Liability: It is expressly understood that the Exhibitor agrees to indemnify and hold harmless CFF, organizer for Putting the
Pieces Together for Children and Families: The National Conference on Substance Abuse, Child Welfare and the Courts, and
the Disneyland Hotel, against any and all liability and property damage or loss arising from or out of the use by the Exhibitor
of the Exhibit space.
Location: Putting the Pieces Together for Children and Families: The National Conference on Substance Abuse, Child
Welfare and the Courts, will be held at the Disneyland Hotel, 1150 Magic Way, Anaheim, CA 92802.
Use of Space: No exhibitor shall assign, sublet, or share space allotted with another organization unless approval has been
obtained in writing from CFF.
Amendment: All matters and questions not covered by these regulations are subject to the decisions of CFF, its national cosponsors and/or assigned agency. Regulations may be amended at any time by CFF. All amendments that may be so made
shall be equally binding on all parties affected by them, as are the original regulations. In the event of any amendments or
additions to these regulations, written notice will be given by CFF to all Exhibitors who may be affected by them.
