Dorset Expeditionary Society and Leading Edge Expeditions Ltd Job Description: Part time director ESSENTIAL CORE: To ensure the DES/LEE operates efficiently:Maintain the membership of the Society Deal with the day to day financial running of the organisations. Deal with correspondence and provide accurate information relating to expeditions; Keep the Management Committee up to date with developments in the expedition world. Establish and maintain good working relationships with the Duke of Edinburgh’s Award Scheme officials at local and national level. Arranging travel insurance for expedition teams Organise and promote the Young Leaders’ scheme including the workshops held in September. Encourage suitable candidates to attend and appoint mentor for peer group expeditions, advice on relevant courses. Ensure expedition leaders have all the necessary support to operate effectively within the parameters of the law, both UK and European. Act as Expedition Home Agent to overseas expeditions and first point of contact for parents while expeditions are in the field. Maintaining online presence in social networks -Twitter/expeditions and DES facebook pages giving access to over 600 targeted individuals at any one time. Collating information and writing reports, ensuring decisions made are communicated to the relevant company stakeholders; organising, preparing agendas for, and taking minutes of board meetings and annual general meetings Maintaining statutory books, including registers of members, directors and secretaries; Liaising with external regulators and advisers, such as auditors; Producing procedures and codes of practice necessary to gain professional standards such as BS8848, AAP status Reporting to Young Explorers’ Trust ( YET ) and D of E as required to maintain our professional status as a venture provider; Ensure maximum publicity for events and expeditions Liaise with Training Officer over grants made. Track how grant receiving member organisations spend their money. Keep records ( for Charity Commissioners purposes ) and report to the Management Committee and Trustees Create, design and collate biannual DES magazine DESpatches, Design and produce the DES brochure Plan DES ball ( and any other social event ) financial management, print and sell tickets, advertise, arrange entertainment, liaise with Ball committee over seating, menu. Advertise, print and sell tickets, financial management, food supply and prep for DES barbecue. Overseeing public relations and aspects of financial management Contributing to meeting discussions as and when required, and advising members of implications of proposed policies as advised by legal and financial representatives; Monitoring changes in relevant regulatory environment, and taking appropriate action Taking responsibility for the health and safety of employees and managing matters related to insurance and property; Renewing insurance cover for employees, equipment and premises Apply for and maintaining CRB checks for staff as required Marketing To devise and implement a marketing strategy that will attract external applicants to our ventures thus providing expeditioners, members, a revenue stream and future leaders. Attend publicity events each year taking a ‘roadshow’ of promotional literature to schools, colleges, public events, D of E activities. Liaising with schools and colleges and businesses to promote and attract applicants to the expeditions. Arrange publicity and promotion of expeditions in print & on the website Create, design and manage Leading Edge Expeditions website and Dorset Expeditionary Society websites.
