Overview
1.1
Purpose
This end user procedure will focus on the business process of time capture in mySAP
CATS (Cross Application Time Sheet). WorldFish staff is required to capture the actual
time spent on the projects on a daily basis. The end user procedure will document the
following processes:
 How to enter time in Excel time sheet
 How to upload time sheets into mySAP CATS
 How to maintain time data in mySAP CATS

Definition
1.2.1
CATS
CATS (Cross Application Time Sheet) is a module in mySAP for staff to enter their
working time charged to the relevant project codes.

Organizational Elements
A mini master of the staffs’ data must exist in mySAP Human Resources module.

Process:
a. The staff enters his/her time into the customized Excel time sheet on a monthly basis.
Staff records his/her time spent in projects assigned or ad-hoc projects. Each staff will be
assigned to a time administrator namely:

Chew Guat Khim
Sandra Leng
Ng Li Ping
Nova Sarker
Naher Faragalla
Staff assigned
All AQ staff except located in Bangladesh and Egypt
All NRM staff except located in Bangladesh and Egypt
All PESS staff except located in Bangladesh and Egypt
All AQ, NRM and PESS staff located in Bangladesh
All AQ, NRM and PESS staff located in Egypt
b. Once the time sheet is completed, the staff will send the time sheet via FTP to the
assigned shared folder (AQ, NRM or PESS) on a monthly basis to upload into mySAP
CATS. Staff in Bangladesh and Egypt will send their time sheets to the assigned Time
Administrators via email.
c.
The five Time Administrators will have their own shared folders. They will then upload
the time sheets into mySAP CATS.
d. Once uploaded, the Time Administrators will check the job log. Two scenarios:

If there is error, the Time Administrator will determine if it is data error in the time
sheet or system error. If it is data error in the time sheet, the system will
automatically notify the staff concerned via email to rectify the error. The staff will
then amend the time sheet and send to the shared folder via FTP or email to the
Time Administrator (for Bangladesh and Egypt) again. Thereafter, the Time
Administrator will upload the time sheet again. If need be, the Time Administrators
will assist the staff if he/she is unable to rectify the error encountered.

If it is a system error, then the Time Administrator will have to trouble shoot to rectify
the error. If the error could not be resolved, then the Time Administrator will inform
the Application Support personnel to rectify the error. Once the error is rectified, the
Time Administrator will upload the time sheets with error again.
e. If there is no error, then the system will populate the time data from the time sheet into
mySAP CATS. The upload program will also automatically save and approve the time
data in mySAP CATS.

be done directly into mySAP CATS by the respective Time Administrators.
b. The staff will inform the Time Administrator of the changes.
c.
The Time Administrator will make the necessary changes in mySAP CATS directly.
d. The amended time data is auto-saved and approved and is ready for analysis.

Time Capture Process
This process refers to 1.4.1.
2.1
How to Enter Time in Excel Time Sheet
The staff enters his/her time into the customized Excel time sheet on a monthly basis. The
times recorded must be based on the project codes assigned or ad-hoc projects. An
example of the Excel time sheet is below:-

Personnel Data
a. Enter the ID No. at the ID No. field and press enter. The name will be defaulted once the
ID No. is enter.
b. Select the month on the Month field by clicking on the drop down button.
c. Select the year on the Year field by clicking on the drop down button.
d. Click on the ‘Reset’ button to clear all old time data from the body of the Excel time sheet.

Productive and Non-productive hours
Productive Hours:
a. On the Project column, select the project code. The list of project codes in the drop down
list are the projects that are assigned to you. You can also enter a project code (ad hoc

the following message appears:-
Click on Yes to proceed.
b. Next, enter the total number of hours on the days/date column (same row as the project
code).
Note: You can only enter a maximum of 24 hours for a day.
Non-Productive Hours:
a. Non-productive hours refer to Public Holidays, annual leave, home leave, medical leave
and other absences. (Saturdays and Sundays are NOT considered as non-productive
times) Just enter in the hours for non-productive times in the ‘Absence-Non Productive’
row. Example:
 If it is a Public Holiday, then enter in 8 hours for the day in the ‘Absence-Non
Productive’ row.
 If it is a half day Annual Leave, then enter in 4 hours in the ‘Absence-Non Productive’
row.
b. The non-productive hours will be automatically pro-rated based on the staff allocation to
the assigned projects.
2.1.3
File data
a. Once you have enter all the productive hours, click on the Save button. Then Exit the
Excel time sheet. The file name saved is automated based on the following naming
convention:
WF_XXX_MMYYYY.xls
XXX refers to the staff ID in mySAP
MM refers to the month picked in section 2.1.1
YYYY refers to the year picked in section 2.1.1
b. The file will be saved in your local drive.

The staff will then send the file once a month (at the end of the month) to the assigned
shared folder via FTP. For staff in Bangladesh and Egypt, send directly to the Time
Administrator via email.
d. The time sheet must be submitted by the 4th of the following month. SAP will send out an
email reminder to the staff who has not submitted the time sheet on the 7th.
e. For FTP, open up Internet Explorer. Type in the following address:
ftp://sap.worldfishcenter.org/. Double click into the correct shared folder. Copy the time
sheet from your local drive and paste it in the shared folder.

To add Comments
If you would like to add some comments to the time data, you can do so by selecting the
cell and click on the ‘Comments’ button.
The following ‘Add Comments’ screen will pop-up. Enter in the comment and click ‘OK’.
You can enter up to 255 characters.
If you want to delete the comment, select the cell and click on the ‘Comments’ button.
Enter ‘#’ in the blank space to remove the existing comment.

How to Upload Time Sheet into mySAP-CATS
This process refers to 1.4.1.
2.2.1
Time Administrator Shared Folder
a. The time sheets in the shared folder are uploaded into mySAP CATS by the Time
Administrators. Ensure that a folder on the Time Administrator’s workstation has been
predefined for the upload. The mandatory command files that are necessary for the
execution of the program are zsap_sys.bat, zsap_archive.bat and the subfolder Archive.
b. Please ensure that the files below exist in the shared folder.
c.
The shared folder for the Time Administrators in HQ is mapped to the T drive (T:\).
d. The shared folder for the Time Administrators in Bangladesh and Egypt is C:\SAPTEMP\
e. When the staff submit their time sheets, the shared folder will contain the time sheets of
the staff concerned:

the month.

CATS- Time Sheet/Excel interface Program (Selection screen)

a. The Time Administrator logs into SAP Production client (WFP: Client 500).
b. The Time Administrator will need to enter the parameter for the Command File which is
the full path of the zsap_sys.bat file. The path to be used are:
For Time Administrators in HQ: T:\zsap_sys.bat
For Time Administrators in Bangladesh and Egypt: c:\saptemp\zsap_sys.bat. (Time
Administrators in Bangladesh and Egypt will be required to create a folder called
‘SAPTEMP’ in his/her local drive, i.e., C drive)
c.
Select the month and year for the upload (the current year and month will be defaulted).
If February is selected, then all files for the month of February will be uploaded from the
shared folder.
d. Press the Execute

there is no error, you’ll see the message screen below:-

e. Time sheets that are uploaded successfully will be automatically moved from the main
shared folder into the Archive folder.
f.
2.2.3
If there are time sheets other than for the current month are in the main shared folder,
then the Time Administrator will need to check if the time sheets are to be uploaded as
well. If yes, then the Time Administrator will proceed to the steps as explained above in
this section.
Time Sheet NOT Uploaded Successfully
a. If a time sheet has errors during the upload, the entire time sheet will NOT be uploaded
into mySAP CATS. In other words, no data is uploaded if there are errors encountered
during the upload.
b. If there is any error encountered, the program error log will describe the error. Possible
errors are:



Project code does not exist in mySAP
The master data for the staff’s activity type are not created
The staff’s activity type are not assigned to the Staff ID in HR master data

e. Upon notification, the staff concerned will need to rectify the error in the time sheet and
send it to the shared folder again.
f.
The Time Administrator will upload the time sheet again.
Note for Time Administrator:
Q: How can the time administrator tell if an error is one which is being sent to the end you or if it
is one which he/she has to attend to himself/herself?
Scenario: Data error
During the upload of time sheets into CATS, if there are errors, the program log will list out the
error messages. If this happens, an email will be sent to the staff concerned but no email is sent
to the Time Administrator. The error messages sent to the staff will be self-explanatory. The staff
will amend his/her time sheet accordingly and then submits the time sheet to the shared folder.
The Time Administrator will just upload the file again. Of course, if the staff could not decipher
the error message, then he/she will need to contact the relevant Time Administrator for
assistance.
Scenario: System error
System error will mostly likely be the upload program error, eg., some of the required technical
files are not in the Time Administrator’s shared folder. In this case, no email is sent out to
anyone. The Time Administrator will be required to rectify the error or ask for the Application
Support staff for help.

Uploaded Time Sheet is Reloaded Again
Q: After a time sheet for a particular month has been successfully uploaded into mySAP
CATS, what happens if the same time sheet is uploaded again?
If there are any changes to the time sheet that has already been uploaded successfully, it
should be done manually into mySAP CATS (please refer to Section 2.3). However, if
the time sheet is accidentally reloaded for the second time, then the upload program will
check each day and do the following:
a. If there is already existing data for the day and for the particular project code in
mySAP CATS, then the program will not update anything from the Excel time sheet.
The program log will only indicate that the file has been archived. There is no error
message sent out to the staff.
b. If the Excel time sheet contains new project code or a ‘new’ day, then the program
will upload the ‘new’ data only into mySAP CATS for the same month. The program
log will indicate that the file has been inserted successfully and the file will be
archived. There is no error message sent out to the staff.

Time Sheet: Data Entry View
Period navigation button
a. The first row refers to the staff’s planned working time (not referring to the allocated time
in projects). The normal working hours of the staff will be taken as the planned working
time for this purpose. For example, a staff belonging to HQ has the following planned
working time:
 Work days: Monday to Friday
 Off days: Saturday and Sunday
 Working hours per day: 8 hours
 Public Holidays: 0 hours
b. The second row is the total sum of the actual time entered based on third row onwards.
c.
The Total column (5th column) refers to the total number of hours for each row.
d. 3rd row onwards:
 The Controlling Area is always WF01.
 The Sender Cost Center is always WFC_GEN01 (Master cost Center).
 The Activity Type is either XXX002 (productive hours) or XXX003 (nonproductive hours). XXX refers to the staff’s initial.
 Receiver WBS Element refers to the project code (WBS Element – 3rd level).

blue color, then it means the cell has some information. Just place the cursor on the cell
concerned and click on the Long Text button
