MEMBERSHIP GUIDELINES OF
GIRLS HOPE OF PITTSBURGH, INC.
YOUNG LEADERSHIP BOARD
A.
Purpose: The mission of the Young Leadership Board (“YLB”) of Girls Hope of
Pittsburgh, Inc. (“Girls Hope”) is to provide young professionals with an opportunity to serve
as positive role models to the children who are part of the Girls Hope program by participating
in various mentoring activities throughout the year. The support provided by the members of
the YLB aids in the growth and personal confidence of the girls in the program. The members
of the YLB are also active contributors to the Girls Hope organization through the planning of
various fundraising events. The YLB also operates in conjunction with the Board of Directors of
Girls Hope (“Senior Board”) to further the mission of Girls Hope.
B.
Members:
1.
The members of the YLB shall be selected or recommended by any YLB
member in good standing as well as the Girls Hope staff and Girls Hope
Senior Board of Directors.
2.
A member’s term shall be renewed annually, unless the member terminates
membership.
3.
Members are expected to:
a)
Attend the majority of the ten (10) monthly meetings scheduled
throughout the year; with exceptions for business travel, school
obligations, illness, and family emergency/obligations
b)
Be an active, engaged member of one of the Hearts & Hopes committees,
as defined in Paragraph E;
c)
Attend and support all YLB fundraising functions, and assist with/attend
monthly dinners and seasonal activities; and
d)
Lead or support at least one monthly mentoring event.
C.
Officers:
1.
(a)
The officers of the YLB shall consist of a President, Vice President,
Secretary, and Mentoring. An individual may hold more than one office during
the same term.
(b)
Each officer shall serve a one (1) year term and may succeed herself for an
unlimited number of terms.
(c)
If an officer other than president resigns in the middle of her term a vote
will be held to fill her position. The date of the election will be selected by the
Girls Hope Executive Director.
2.
On an annual basis, a slate of officers for election shall be prepared by the
Secretary for presentation and vote by the membership in accordance with
Paragraph G.
3.
The President shall preside at all meetings, appoint and coordinate committees,
report to the Senior Board regarding activities of the YLB when called for, and
perform such other duties as usually pertain to the office or may be assigned by
the Senior Board. The President is an Ex Officio member of the Senior Board with
voting rights
4.
The Vice President shall perform the duties of the President in the event of the
President’s inability to act because of absence or other reason and shall perform
other delegated duties. The Vice President shall succeed to the office of
President should that office be vacated for any reason in the middle of a term.
5.
The Secretary shall maintain a current contact list for the YLB members; shall
send out meeting reminders one (1) week prior to a scheduled meeting; keep
minutes of all meetings of the YLB and the Officers and distribute said minutes
to all attendees within one (1) week of the meeting; maintain an attendance log
for all meetings and mentoring events; and prepare and present a slate of officers
and committee and subcommittee chairs to the membership for annual election.

6.
The Mentoring chair helps to establish consistent relationships with the girls
through regular mentoring events and special events. The Mentoring chair is
responsible for special-event planning and execution.
7.
The YLB officers will meet bi-annually (July and April) with the Girls Hope
Executive Director to discuss and plan the upcoming year and recap Hearts &
Hopes as well as the YLB year.
D.
Meetings:
1.
The membership shall meet monthly at a time and place designated by the YLB
President and Girls Hope Executive Director.
2.
Special meetings of the YLB may be called by the YLB officers at such time and
place as may be determined.
3.
Notice of date, time, place and purpose of any meeting of the YLB shall be
communicated to each member at least one (1) week before the date of the
meeting via facsimile, e-mail or other means of communication deemed
reasonably likely by the Officers to reach the intended recipient.
4.
The conduct of all meetings of the YLB shall be such as the presiding officer
thereof shall determine, provided that in the event there is any objection, the
President’s ruling shall thereafter govern such procedure of the meeting.
E.
Hearts & Hopes Committee
Chair: Responsible for setting up venue, carrying out all communications with vendors, and to
oversee operations with Co-Chairs.
Co-chair: Responsible for Silent/Chinese Auction action items, signage, and communications
with the Auction Committee, Food & Beverage Committee, and Volunteer Committee.
Co-Chair: Responsible for handling Ticket Sales, Overall Financials, and communications with
the Publicity Committee and Sponsorship Committee.

Food & Beverage Committee: Consists of 2 individuals who are responsible for collaborating
with the food and beverage vendors to donate their products at the event. Will be responsible
for communications with vendors and personalized thank you notes after event.
Sponsorship Committee: Consists of 2 individuals who are responsible for making calls to
potential corporate sponsorships, following up calls, and tracking donations. Will be
responsible to send personalized than you notes after event.
Auction Committee: Consists of 2 individuals who are responsible for collaborating with
designated Co-Chair to make donations follow up calls, collect auction items, organize Silent
and Chinese items once collected, assist in the set-up and clean at event of auction tables, assist
in the distribution of prizes at the event, and any additional assistance directed by the Co-Chair.
Publicity Committee: Consists of 2 individuals who are responsible for researching potential
networks to publicize the event, use resources at Whirl, Post Gazette, Tribune, and etc.,
organizing set up at event and work with Chair & Co-Chair s for group photo. Responsible for
communicating publicity received to the YLB after event ended and thank you notes to the
publicity personnel who attended the event.
Volunteer Committee: Consists of 1 individual who is responsible for organizing number of
volunteers needed for the event by contacting RMU AMA students, Junior League, Pittsburgh
Cares, etc. Will be responsible for communicating with the above organizations and submit
volunteer request form (If applicable) for volunteers. Once volunteers are determined will
organize appropriate responsibilities and time slots each volunteer will have and communicate
with volunteers prior to the event. At the event will handle the rotation of volunteers and
organization.
Set-up committee: This committee will consist of only the Chair, Co-Chairs, Auction, and Food
& Beverage Committee. Any additional assistance will be determined on as as-needed basis.
*Additional assistance in each committee will also be determined based on a need basis and will
be organized at the meetings. For example (Auction Committee-volunteers will be needed to
help assist in making follow-up phone calls and picking up auction items)

Each committee will be responsible to provide weekly updates to their designated Co-Chair and
the Co-Chairs will then be responsible to communicate and report daily/weekly to the Chair.
G.
Elections:
1.
Beginning in March of each year, the Secretary shall solicit interested individuals to
serve as officers and/or chairs for the upcoming year. In April, the Secretary shall
prepare a slate of nominated candidates for officers and chairs. The slate prepared in
April is final and cannot be changed.
2.
The slate shall be sent with the May YLB meeting notice and shall be presented to the
membership at the May meeting for a vote. No nominations will be taken from the
floor.
3.
Election to all offices shall be by majority vote, and only those YLB members in good
standing shall be permitted to vote.
4.
If a tie occurs during the election another vote will take place for that position with the
same members on the ballot. If it still remains a tie the Girls Hope Executive Director
will then make the final selection for the officer position.
