Job Summary:

The Summer Conference Assistant (SCA) position is a live-in position within the University of Washington Bothell. Under the direct supervision of the

Resident Director and/or Assistant Director of Residential Life, the SCA establishes a cohesive and responsible community in his/her designated area; models and supports issues related to diversity; facilitates the holistic development of residents through programming; promotes resident involvement; refers, advises and supports residents as they deal with academic and personal issues; enforces and abides by the policies of the Office of Student

Life and the University of Washington as well as Washington State and federal laws in the residence halls; demonstrates sound judgment; participates in and facilitates a team approach with coworkers; completes necessary administrative tasks; and provides appropriate customer service to students and orientation participates and conference guests.

The Summer Conference Assistant’s primary responsibility is to ensure conference guest’s needs are met. SCA’s are primarily responsible for preparations for conference groups, providing customer service, distribution of materials, and public relations at the main desk area. The SCA’s work schedule is dependent on the demand for hall facilities. Special scheduling and mandatory dates will be prepared during heavy check-ins or checkouts.

This summer we are looking to hire five students for the Summer Conference Assistant positions. The following information will give you a better idea of what this position entails and the timeline for the selection process. Summer Conference Assistant positions may hold a flexible, outside job during the summer; however, the Summer Conference Assistant position must take precedence over all other work/school-related commitments. This position has a live-on requirement; you will be assigned to an on campus apartment for the entirety of employment.

General Duties and Responsibilities:

Assist with check-ins and check-outs of conference groups and summer school students.

Share in on-campus duty responsibilities with other Summer Conference Assistants from 6pm-9am during the week and 7pm Friday to 7pm Sunday on the weekend.

Provide assistance to conference guests and summer school students on an ongoing basis.

Complete room checks prior to conference group arrivals.

Post information for conference guests and summer school students in a timely manner.

Attend all trainings and weekly staff meetings.

Attend regular one-on-ones with supervisor.

Participate in self and staff evaluations.

Serve as a Community Assistant at the Community Center desk during assigned hours on a rotational basis.

Provide quality programming for summer school students on a monthly basis.

Other duties as assigned

Specific Job Requirements:

SCAs must be able to lift and carry up to 20 pounds up and down stairs.

SCAs are expected to consistently demonstrate behavior characterized by integrity; this includes but is not limited to providing accurate and true information on all documentation and communication with all University and city personnel.

SCAs are expected to meet with new residents within one week of new occupancy, to welcome and provide orientation. SCAs are expected to conduct resident engagement meetings monthly with every resident as directed by their supervisor (in addition to informal interactions). SCAs are expected to meet programming requirements and other committee assignments established by the supervisor.

SCAs are expected to call floor or building meetings, publish information for residents, and/or write articles and publish area newsletters or moderated

Listservs based on the requirements established by the supervisor.

SCAs are expected to establish and maintain a physical floor/building appearance that contributes to a welcoming, inclusive and academically supportive community as directed by the supervisor; this includes but is not limited to bulletin boards, posters and flyers.

SCAs are expected to maintain a standard of sleeping in their own room four of five nights per workweek and one of two nights per weekend.

SCAs are expected to obtain prior approval from their supervisor for absences from the residence hall that are greater than 24 hours or will require them to spend the night outside of the Seattle metro area.

SCAs are expected to serve as positive role models through all internet activity and computer-related communications; including but not limited to instant messaging, online journals, texting, social networking sites, or email tags.

SCAs are expected to refrain from any relationship that may result in a personal conflict of interest. SCAs are expected to report such relationships to their supervisor immediately. (Examples may include but are not limited to siblings, significant others, etc.) In order to maintain the integrity of the staff position, SCAs are prohibited from dating or entering into any type of romantic relationship with another Summer Conference Assistant or any resident living in campus housing.

SCAs are expected to know, enforce and model all federal and Washington State laws, city, UW, and residence hall regulations and policies.

SCAs are expected to successfully complete all duty and on call responsibilities as assigned. This includes break and holiday coverage as assigned.

SCAs are expected to remain in their respective building while on duty, unless otherwise directed by a supervisor.

SCAs are expected to report any threats or incidents of violence (including but not limited to threats or incidents of self-harm) immediately to their supervisor. If such acts occur after 6 p.m. on a weekday or anytime on a weekend or holiday, the SCA is expected to contact the staff member on duty immediately and follow established guidelines regarding priority documentation. The SCAs understand that they should always call the RD on Duty.

SCAs are expected to notify their supervisor of any arrest, criminal charge or protection order immediately after issuance.

SCAs are expected to follow instructions/directions given by the direct and/or indirect supervisor(s). Indirect supervisors may include but are not limited to the staff member of duty, Assistant Vice Chancellor for Student Affairs, and city of Bothell personnel.

SCAs are expected to attend one-on-one meetings, summer staff meetings, and other meetings and workshops as designated by their supervisor.

SCAs are expected to monitor their email daily and voicemail for messages from their supervisor or other Residential Life staff and respond

accordingly and in a timely manner.

SCAs are expected to attend all trainings and workshops as indicated by their supervisor.

SCAs are expected to notify their supervisor about outside employment, internships or significant activities. Such employment and/or involvement must not interfere with the SCA’s job performance. No outside jobs can be held after 5pm any night of the week.

Resignation from the SCA position prior to the end of the contract may affect a SCAs eligibility to be considered for future employment.

SCAs must demonstrate the ability to interact with conference guests in a positive manner, possess strong communication skills, knowledge of the campus and surrounding area, as well as the ability to handle various questions and concerns.

SCAs assist with check-in and check-out procedures for conference guests. This includes but is not limited to: distributing keys, working with StarRez software, updating occupancy records, being available to answer questions, creating bulletin boards, placing linens on beds, checking keys in the locks, creating and posting signs.

SCAs are expected to meet the expectations outlined in Appendix A.

Supervision Received

The Resident Director and/or the Assistant Director of Residential Life directly supervise the SCAs. Through projects and departmental tasks and conference duties, other staff will exercise indirect supervision.

SCAs will receive feedback from their supervisor on a regular basis regarding performance issues, strengths and areas for growth.

Compensation:

The SCA position is paid at a rate equal to the cost of one single occupancy apartment for Summer 2014 while serving as an SCA. In addition, SCAs receive a $300 monthly stipend.

At the conclusion of their employment, SCAs will be financially responsible for any unauthorized alterations, damages to the room or cleaning costs. If for any reason employment with The Office of Student Life ends or is terminated before the end of summer quarter, the SCA must officially check out of their room within 72 hours of the conclusion of their employment.
