Catering Policies
The Facts………………..
Thank you for choosing Chartwell’s Catering Department at Randolph-Macon College for your special
event.
This guide has been developed to assist you the customer in planning your next catered event. The contents
of this booklet are a general guide and are in no way the only options that you have available to you. Menus
can be changed, and we will be happy to discuss variations. We hope that such individual attention will
assure a pleasant dining experience for your group. If you have any questions, please do not hesitate to
inquire.
Reservations and Arrangements
As the host, you are responsible to make the appropriate reservations needed for any room or area to be
used for your event. (Please contact the campus facilitator for your reservation request).
Please keep in mind that for events requiring wait staff, a service pantry area hidden from your guests’ view
is advisable.
It will also be necessary for you to make all the arrangements/work orders needed for delivery and set up of
tables and chairs to be used for your guests, and for food or service behind the scenes. Our catering director
and chef are available for consultation and would be happy to help you plan your event.
Placing an Order
Our staff is pleased to have the opportunity to participate in the coordination and planning of your event.
Just call the Catering Office at 752-3121 or email us at Catering@rmc.edu ._If you have not reserved space
for your event, you must first contact the campus facilitator with your space requirements.
Signed Contracts
Catering orders must have the proper signature and department account number in order for it to be
processed. Please make sure that only authorized personnel sign for specific departmental accounts. A
signed and verified function order must be sent back to the Catering Office no later then 3 days prior to the
scheduled function. A signed form that you have read and understand the policies in this catering guide
must be returned prior to your event.
Guest Count and Guarantee Policy
The customer must provide a guaranteed minimum guest count 72 hours prior to the event. You will be
billed your guaranteed number or actual number, whichever is higher. Events that are canceled more than
72 hours prior to the event will not be billed. Events canceled between 48 and 24 hours prior to the event
will be handled on a case by case basis.
Over-Run Charges
One and one-half hours of service are normally provided for catered meals. If there is going to be a
program during the meal, please notify the Catering Office when making service arrangements. If your
event runs beyond two hours, there will be a $20.00 per hour per attendant service charge.
Billing Details
We will be prepared to serve five percent (5%) above the guarantee for buffets and served meals. Prices
quoted do not include sales tax. A signed form is required for tax exemption. Checks and cash may be used
to pay for your catered event.
Event Space
It is not the responsibility of the catering department to reserve event space or to move or set up or deliver
tables and chairs. Please make arrangements with the appropriate department to ensure the space is set up
for your event. For buffets and served meals we require set up a minimum of 4 hours prior to the event start
time to ensure catering set up for your event is ready on time.
Building Access
Please ensure that facilities are unlocked to allow delivery, set-up and clean up for each event as noted
above.
Trash
We do not supply trash or recycling receptacles outside our dining facility. If you need additional trash or
recycling receptacles at your location, please make the appropriate arrangements prior to the event.
Buffets
A common misconception is that buffet service is synonymous with all you can eat. Buffet service will not
provide more food per person than a served meal. Buffet services are intended to offer more food choices,
not more food.
Linens & Skirting
There is a $2.50 charge for each linen table cloth and $.50 for each linen napkin. Please inform us of all
tables that you will require linen for. If you require a specific color napkin for your event, please inquire
about the variety of colors we offer. Specialty linens are available upon request and at an additional cost.
Skirting colors are limited. With multiple events skirting will be used on a first come first serve basis. All
other tables will be draped when necessary.
Market Conditions
From time to time, market conditions may force us to substitute menu items due to availability or poor
quality of the product. Catering will give the event 24 hours notice of the substitution whenever possible.
Food Guidelines
Due to health regulations, all perishable food not used at a catering function becomes the property of
catering department. No food or beverage can be removed from the location of service by anyone. Please
do not ask for take out containers or “Doggie Bags”. And to ensure the safe and proper food handling and
service of your event, neither food nor beverage from outside sources may be brought into a function room.
Absolutely no outside alcohol will be permitted at a catered event.
Lateness of Event
In the event that your group will be arriving later then scheduled, please notify the Catering Director as
soon as possible. We cannot be responsible for any food held 15 minutes after your scheduled service time.
Delayed service will deteriorate the quality of the food.
Delivery Charges
Catering will deliver any order over $50.00 between the hours of 8:00 a.m. to 5:00 p.m., Monday-Friday,
free of charge. Any order under the minimum amount and outside the given time frame will be charged a
$25.00 delivery charge in addition to the cost of the food/beverage order. Any food/beverage order under
$50.00 but within the time frame will be raised to a minimum cost of $50.00 if delivery is requested. We
strongly suggest that food/beverage orders under the minimum amount and/or outside the normal workday
hours be picked up by the customer to eliminate any additional costs.
Specialty Services
Rental Equipment
Catering will furnish our standard catering equipment for service up to 200 people. Any groups larger than
that will be required to pay for rental equipment for that event. If requests are made for specialized catering
equipment that Catering does not possess,
the customer will be required to pay for the acquisition of these products.
All functions held in Estes’ Dining Hall and Banquet Facilities will be served on china. We offer the finest
disposable ware for any functions served outside our dining facility.
Décor and Special Effects
Catering does have the ability to obtain items that will enhance your function, from flowers to fountains.
Prices are available upon request.
Using Student Meal Plans for a Catering Event
In order to use a student meal plan deduction for a catering event, we must have the students name and
Identification number prior to the event in order to apply the charge to the correct meal zone. The meal plan
can only be used for meals served; this includes buffet breakfasts, box lunches, served and buffet lunches or
dinners. This does not include receptions. A deduction of $2.00 per person will be applied to the catering
bill. Please notify the student that you will be using their meal swipe for that meal period.
Refreshment Breaks
Refreshment breaks include all you need for self-service: paper cups, napkins, etc. If your event requires
china and glassware, please inform catering of this when you place the order.

Bar Services………………
Compass Group USA, Inc. at Randolph Macon College possesses a Virginia ABC License for
catering on and off premise. We firmly follow all rules and regulations set forth by the
Commonwealth of Virginia in our handling and selling of alcoholic beverages.
State law prohibits the service of alcohol beverages to anyone under the age of 21. Chartwell’s staff
reserves the right to request age identification for anyone believed to be underage. All student
organizations should inform their guest to bring proper identification to all functions where alcohol
is being served. State law also prohibits the service of alcohol to anyone suspected of being
intoxicated. No guest may carry alcohol with them at the conclusion of the event and may not take
alcohol beyond designated event space. Absolutely no outside alcohol can be brought to an event.
