January 30, 2015 Dear Colleagues: I am pleased that you will be able to join us for the 36th Annual Dr. Lawrence R. Sutherland Wind Festival to be held on the campus of California State University, Fresno on Friday, March 22, 2015 through Sunday, March 22, 2015. Thank you for putting the event on your schedule! This memo will be followed by an email with an attachment. Some parts of the attachment will need your immediate attention and must be faxed (or send as PDF attachment to garygi@csufresno.edu) back to me right away at 559.278.6800. Other parts (maps, etc) can be duplicated and distributed to your students and parents. The attachments will come in the form of a pdf file. It may be possible that your institution’s email control will block the emails/attachment from coming through. If you do not get the next email with an attachment please go to our website (http://www.bulldogmarchingband.com) and look for the pdf files there in the coming few days. Be sure you receive (via email or website download) the following forms/maps: 1) Schedule 2) Band Observation Form (fax back right away to 559.278.6800) 3) Repertoire Form (fax back right away to 559.278.6800) 4) Percussion Use Form (fax back right away to 559.278.6800) 5) Stage Diagram/Seating Chart (fax back right away to 559.278.6800) 6) Map to Campus (with bus parking instructions – be sure to follow these!) 7) Map of Campus Bus Drop Off, Parking and Pick Up: The Fresno State Parking Office is asking that we use the drop off “bus cut-offs” in front of the University High School (modern chrome building next to the Smittcamp Alumni House) for dropping off our students. Your drivers will need to follow the directions onto our campus in order to have them facing the right direction to pull into this new drop off area. Your bus should NOT enter the campus on Maple Avenue as in the past. Please see the specific instructions (Map To Campus) and the Map Of Campus. Please share these with your driver. Busses must park at the back of campus in the “Y Lot (also called P11 Lot - see maps) and when you are finished, you will need to call your bus back to the University High School “bus cut-offs” area to pick up your students. IF this area is clogged with traffic when your bus arrives you should continue to the corner of Maple and Keats, turn right into the new cul-de-sac and use that area for your drop off zone. Check-in and Conductor’s Scores: When you arrive on campus the day of the festival, please check in at the Band Office (M-138) in the New Music Building and turn in three copies of each conductor’s score for each selection your group will be performing for the adjudicators. Have Your Band Observe Other Bands: It is my hope that everyone attending the festival appreciates the value of having our students listen to other bands. To that end, I am asking that you have your band in attendance at least two (or three) other band performances besides your own. This will hopefully ensure that all bands will have an appreciative audience of other band students and their directors. Please examine the schedule, talk to your transportation people and decide what your itinerary will be for the day. I ask that you let me know what two or three bands you are planning to watch by completing and returning the proper form. This is an important part of our festival and I thank you for your cooperation. Stage Diagram/Seating Chart: There is a great website for creating seating charts for your band and it is suggested that you use this website if you wish: http://www.bgreco.net/band/ Audience Admission Fees: Please encourage your parents and their friends to attend your band’s performance at this prestigious event. One tickets is good for most of the weekend’s concerts. There is a separate ticket for the Saturday evening GALA CONCERT. Please see section below for that information. For all other festival concerts admission is first come, first served and the prices are $7.00 General Admission and $5.00 for Seniors/Students. Saturday Evening GALA CONCERT: As is tradition with the Dr. Lawrence R. Sutherland Wind Festival, The Fresno State Wind Orchestra and one special guest band will be featured in the Saturday evening GALA CONCERT. This year we are proud to share our concert with Dr. Lawrence Stoffel and the CSU, Northridge Wind Ensemble. The concert begins at 8pm and requires a special GALA CONCERT ADMISSION TICKET: prices are $15.00 General Admission, $10.00 for Seniors and $10.00 for Students. Performance Time Slots: When I have scheduled a specific time block for each band. In this time block several things need to happen: 1) the stage crew will need to reset the chairs/stands & percussion, 2) your band needs to come in and get seated and situated, 3) your band will play all of their set, 4) you and your band will be honored and thanked publicly for your attendance, and 5) your band needs to vacate the stage and move to the clinic room. Therefore, please keep your musical selections from 10-15 minutes shorter than your complete time block. Again I thank you for deciding to join us for the 36th Annual Dr. Lawrence R. Sutherland Wind Festival and I look forward to hearing your fine band. Please do not hesitate to call me if you have any questions or concerns. Thank you very much!! Sincerely, Gary P.
