CPC Quick Reference for Hiring Individuals Using Cal Poly Foundation Funds All payments for services (wages, honorariums, non-IRS qualified stipends, etc.) for any CSU or Cal Poly Corporation employee (faculty/staff) or student must be processed through payroll regardless of the funding source. Student Assistant Appointment Must be enrolled at Cal Poly with minimum 6 units for undergraduate and 4 units for graduate (unless in last quarter) May only work part-time (35 hours per week or less during academic quarters) Paid hourly only Requires Payroll Information Form, I-9, W-4, and CPC Student/Intermittent application. I-9 must be completed within 3 days of employment or the employee must stop working until document is submitted to Human Resources. Exceptions: Foreign and Work-Study Students Foreign students must be enrolled in 12 units undergraduate (8 graduate) and work no more than 20 hours per week (excluding summer break). o Need to show I-9 documents for eligibility to work to Human Resources o Must have a valid Social Security Number prior to starting to work Work-study students are State employees working in Cal Poly Corporation departments or using funds held by Cal Poly Foundation. o Complete the I-9 at State Payroll and bring student employment form to Cal Poly Corporation Human Resources. Complete Work-Study timesheets on-line, and submit copies to Cal Poly Corporation Payroll in accordance with deadlines – contact Cal Poly Corporation Payroll (6-2339) Intermittent Appointment Non-Cal Poly student Part-time, irregular; not to exceed 1,000 hours during fiscal year May receive temporary staff ID in Human Resources office to ride bus, purchase staff parking pass, check books out of Cal Poly Library, and join the Rec Center. Employment of Minors Prior to beginning work: Employees under the age of 18 must have parent sign a Parent Authorization for Emergency Medical Treatment form. Employees under the age of 18 must provide supervisor with valid work permit, unless they have already graduated from High School. May only work in accordance with permit restrictions. Employment of anyone under age 16 must be approved by Cal Poly Corporation Human Resources prior to any appointment. Cal Poly State University (or other CSU) Faculty and Staff (Add-Comp) Limited to working no more than 125% between both employers (AY or 12 month) Paid hourly Faculty may be eligible to be paid a contract rate for a short (one day to one week) conference or workshop provided certain conditions are met – contact Cal Poly Corporation Human Resources (6-1121) Requires Payroll Information Form, I-9, and W-4. Please note: Public Contracting Code prohibits CSU employees (except for those with teaching or research responsibilities) from contracting with, or being employed by, the Cal Poly Corporation if the source of the funds for the goods or services comes from CSU funds or a CSU contract, unless required by his/her CSU employment determined by the CSU. PCC 10831 H-1B Visa faculty or staff are NOT eligible to work for Cal Poly Corporation. They can only work for the State, their sponsoring agency. Retirees FERP Retirees – not eligible for Cal Poly Corporation employment per University contract Non-FERP State or Cal Poly Corporation retirees – limited to 960 hours per fiscal year o Must have a minimum 60-day break in service if under normal retirement age before starting employment. There must be no prior employment agreement between the employee and the employer. Temporary-Benefited Appointment Formal recruitment required – contact Cal Poly Corporation Human Resources (6-1121) Funding usually from external source (i.e. contract or grant)—Most temporary positions using Cal Poly Foundation funds for state functions will be hired by the University and reimbursed by Cal Poly Foundation, not Cal Poly Corporation.
