RFP-MB-79471 ADDENDUM NO. 5 Date: To: From: Subject: Project: June 17, 2010 All Prospective Respondents Marie Bishop, Colorado Springs Utilities Questions on RFP RFP-MB-79471 Budget Application Solution Q= Question and A= Answer Q36. Can net change journal entries be exported from the Lawson accounting system to a csv or excel format for entry into the proposed solution? We would propose a budget software combined with an accounting software package that is integrated with the actuals. A: Our current setup within Lawson does not allow "net change journal" entries to be exported. However, the system does allow the actual journal entry (which we define as a transaction) to be exported. Q37: (a) What is the account structure of your current chart of accounts? A: For Operations & Maintenance expenses - General Ledger: 1) Company field, 2) Accounting Unit Field, 3) Account Field, & 4) Cost Type Field. In the Activity Ledger (Capital): 1) Activity Number, and 2) Account Category. (b) What is the total length of g/l account numbers? A. Colorado Springs Utilities uses a combination of the Company (CO) field, Accounting Unit (AU) Field, Account (ACT) Field, and Cost type (CT) Field to define unique account numbers for specific items, it is safe to say that we have well over 1000 of these combinations. (c) How many account segments? A: Four on the General Ledger side (Company(CO) field, Accounting Unit(AU) Field, Account(ACT) Field , and Cost type(CT) Field and two on the Activity Ledger Side (Activity Number, and 2)Account Category). Q38. Addendum No. 2, Q18 mentions 10 “super users”. Would 20 concurrent users be sufficient? A: No. We would need to allow our budget planners to have access to their files while we are consolidating the data at the administrative level.
