Details of these requirements will identified and incorporated into the main contract where applicable. 2.2 Contract Review. The Contract is reviewed at the tender handover meeting held following award of a contract. The records of the review for this project are contained in the handover meeting minutes that form part of the quality records for the project. The contract will be further reviewed from time to time as part of the management review of the Management of Quality for the contract. Records of these reviews will be maintained and distributed. 4 Collins Earthworks Ltd Revision A Quality Management System 3.0 QUALITY MANAGEMENT SYSTEM 3.1 Document and data control. Following award of a contract all documentation and data received in connection with the project is managed and filed by administration at Head Office based on our in-house procedure. The procedure will give details of any document management software that is used at the project to record the receipt, distribution and storage of documentation. . 3.2 Subcontract and Material Procurement All materials, services and subcontractors etc are normally sourced by the individual project management team but procured by the Office management through their Order and Purchase process. 3.3 Control of customer supplied product. Where Customer-supplied products are provided for use or incorporation in the works they shall be: 3.4 Identified and controlled. Verified as being compliant with the Contract requirements Stored, handled, packaged where appropriate, maintained and delivered / incorporated into the Works in a manner that protects them from damage and / or deterioration Any loss or damage or otherwise found to be unsuitable is recorded and reported to the Client or his representative. Product identification and Traceability: The Project Manager shall determine the level of Product identification and Traceability stated within the contract and ensures that adequate records and certificates are kept. 5 Collins Earthworks Ltd Revision A Quality Management System 3.5 Process control. The construction processes of Collins Earthworks are controlled to ensure that the specific requirements / considerations are met as follows: 3.6 a) The Health, Safety and Environmental Protection documentation together with the QMS and similar management information are provided to the Employer. A hard copy of the current version of the documents QMS documents should be obtained and made available on site to all members of the project management team. b) The approved contract programme is a process map of the construction phase of the Works. The planning process, together with formal meetings, informal discussions, etc are the ways whereby regular and frequent communication with the Employer’s representative is achieved. c) Progress reports are issued to the Employer’s Representative at predefined periods. d) The Construction Process is controlled by means of Method Statements, Inspection and Test Plans, etc and the production of quality records including processes for Inspection and Testing. It also requires that Collins monitors the implementation of established methods and practices necessary to achieve consistent operations and the provision of criteria and methods of control that ensure conformity with the Clients requirements. Quality Control Regime - Inspection and testing The Project Manager will ensure that all works are carried out in accordance with specified requirements and evidential records are kept. Work will be measured and/or monitored at pre-determined stages, details of which are as follows: 3.7 Setting Out Materials Earthworks Control of Inspection, measuring and test equipment. An Instrument Log is maintained on the project for all the measuring equipment used by the project staff. The Log identifies the type and frequency of the testing carried out and also the equipment that must have a calibration certificate traceable back to National or International Standards. 6 Collins Earthworks Ltd Revision A Quality Management System 3.8 Preventive and Corrective action. Collins project management team shall ensure that the agreed corrective action is completed in a timely manner and that appropriate preventive action is taken. 3.9 Receipt, handling and storage of materials. Information concerning the handling, storage and protection of materials and COSHH information obtained from suppliers is made available for consultation in the project offices. 3.10 Control of records. The Project Procedure will describe, amongst other matters how documents will be Identified and by whom Recorded Distributed Stored, where and by whom Protected Retrievability and confidentiality requirements What records are to be supplied to the Client, when and by what means Retention times Description of the media used e.g. CD ROM, other electronic or hard copy. Disposition of the records and archive period 3.11 Training. Personnel performing specific assigned tasks are qualified on the basis of appropriate education, training and / or experience, as required. Training records are maintained by the Human Resources department at Unit 2B Park Lane, Kirkby in Ashfield.
