Project title: A brief, descriptive title.
Project champion(s): Names of those who support the project, run departments that are the
primary beneficiaries of the project, are authorized to establish the scope of the project and
judge whether the project has achieved its goals, and can provide the functional resources
needed for the project’s success.
Project proposer(s): Others involved in preparing this proposal.
Primary contact e-mail address and phone number: Contact information for one person among
the champions and proposers to whom questions about the proposal can be directed.
Brief project overview: Brief description of the project’s deliverables, including the date by which
those deliverables must be available.
Project pre-requisites: Conditions that do not exist now, but must before the project can begin.
Examples would be systems that must be set up or other projects that must be completed
before this one can start.
Mission alignment: Check those aspects of the university’s current strategic plan that are most
strongly supported by the project.
Motivation factors: What influences listed here impel us to carry out the project? If there are
others not listed, please describe them in the project rationale.
Project type: Check just one.
A research project might be conducted when the means to achieve a particular goal is not
clear. Its deliverable would typically be a decision about whether and how to reach
that goal. Such a project would often be followed by a proposal for a pilot or fullfledged project.
A pilot project proposes the development of a prototype or other small-scale system in
order to gauge the feasibility of a particular approach to a problem. It might lead to a
proposal for a full implementation or to a pilot project for a different approach.
A new system provides functionality not available in any existing system or replaces an
existing system by a substantially different one that serves approximately the same
purpose.
An upgrade replaces one system by a newer version of the same vendor’s system.
An enhancement adds functionality to an existing system through the development and/or
installation of new modules or services.
Function alignment: Which component of the broader university community will be served better
as a result of this project?
Organizational scope: Over how large a portion of the university will the primary impact of this
system be felt? Explain in the rationale if necessary.
Project rationale: Take as much space as you need to provide a succinct account of why the
proposed project should be approved. What issues does it address? Why do you believe
that the proposed approach will succeed? Why will it make a significant difference? What
are the consequences if the proposed project is not carried out?
