2016 JCC PhotoClub Vancouver Members’ Exhibition Guide:
Submission Process & Requirements
The 2016 PCV JCC Members’ Exhibition will be held July 7 to August 7, 2016 at the
Sidney & Gertrude Zack Gallery in the Jewish Community Centre at 41 st and Oak in
Vancouver. The opening reception (refreshments provided) will take place from 7 to 9
p.m. on Thursday, July 7.
• Each PCV member can make a single submission of up to five images for consideration.
• Every member who submits images is guaranteed to have at least one selected for the show.
• Jurying will take place in the week of May 15, 2016. Notification about selected images will be
made by email within 10 days of the judges’ decisions.
• Members can submit images at the March and April club meetings. Members who cannot
attend these meetings should contact a board member before the April meeting to make
alternate arrangements for submission.
• To be eligible to submit images, members must pay 2015 club dues in full by April 30, 2016.
• Selected images must be matted on white with a gallery black metal frame. If you believe one
of your images won’t look its best in this format, then submit a different image. More details
about matting and framing can be found below on page 3.
Instructions
1. Select your images (5 maximum).
2. Print the images to separate sheets at an approximate size of 5” X 7” (inches) each.
Drugstore-quality prints are acceptable.
3. On the back of each print, write your title and the submission number (see Print
Submission Form below, pages 5 and 6).
4. Create a CD or DVD with your submitted image files.
 Each file should have a resolution of 300 dpi.
 Each file should be in RGB or Greyscale colour space.
 Each file should be sized so the longest side is no larger than 3000 pixels.
 Each file should be in jpg format.
 No single file should be more than 10 mb.
5. Each file should be named in the following format: “Your name_Title_Image number.jpg”-e.g. “Mary Smith_Olympic Memories_2of5.jpg”.
6. On the disk, write your name and how many images are included.
7. Write a cheque for $35 made out to PhotoClub Vancouver.

8. Complete and sign the two-page Print Submission Form, found below on pages 5 and 6.
9. Put your image prints, CD, both pages of the Print Submission Form (pages 5 and 6
below) and registration fee in a single envelope and seal it.
10. Finally, bring the submission package to the March or April club meetings or make
alternate arrangements with a board member to receive your submission.
What Happens After the Submission?
Your submission package will be opened at the meeting to check for completeness. Your images
will be logged in a spreadsheet.
The files on the CD/DVD will be copied and used for the exhibition book, which will be available
for purchase online at Blurb.ca later in August, 2016. If there are problems with your submitted
files, you will be contacted.
A total of three judges will review submissions and select images for the exhibition.
A list of selected images will be emailed to members, who are responsible for producing final
framed exhibition images. Please see below, page 3, for more information about printing and
framing final images.
Members are also responsible for delivering their framed exhibition images to the
Zack Gallery on or before Monday, July 4 during business hours. Be sure to attach a
label to the back(s) of your image(s) with your name, email address and the words
“For PhotoClub Vancouver Exhibition”.
When dropping off images at the Jewish Community Centre reception desk, please indicate that
you are submitting them to the care of Linda Lando, Art Gallery Director.
Submission prints and disks will be returned at the June club meeting.
Printing, Framing and Matting Requirements
Final exhibition images must be printed at an appropriate size to fit a 16” X 20” (or smaller)
frame. Images must be matted on white with a gallery black thin metal frame. No larger
frame size will be accepted.
Suggestions for Printing and Framing
As in previous years, the Board is exploring options for obtaining deals on printing and framing
for PCV members in relation to the exhibition. Details will be announced as they become
available.
