When booking your outside pitch please state your overall dimensions, which should include any vehicles you require
on your pitch – please do not forget to add any additional length/width for drawbars, fold out flaps etc. We will use
these dimensions for setting out the site. It is important to advise length of frontage. A stock van or caravan may go
behind the stall but vehicles may not move in and out until after the public has vacated the performance area, so leave
staff vehicles in the public car park. POWER IS AVAILABLE ON SITE FOR TRADERS @ £150+VAT for 16A or
£200+VAT for 32A and will run Thursday 1pm through to Monday 1am (11am approx for food traders).
Inside table stalls will have general lighting in the arts & crafts marquee. Dedicated power may be possible for an
additional fee subject to demand. CRF crew (Red T Shirts) must be given a 50% food (only) discount.
When filling out this table please circle or mark with an “X” ONLY the stall types listed beneath, and work out the total.
We want to be fair to you so if you are slightly over the standard dimensions below, please give me a call to to
see if we can offer some flexibility, as normally additional space is charged at £100+VAT per linear metre
frontage. IMPORTANT- dimensions will be used to set out with no extra leeway unless by prior arrangement.

Food vendors must provide copies of ALL the following with your application:
1. A price list & good picture of your stall with application. Our fees are still quite low, so don’t
overprice to the festival goers.
2. Local authority registration.
3. Hygiene certificate.
4. Gas appliance certificate.
5. PAT electrical safety test certificate/labels.
6. Your own Hazard/Risk assessment document.
7. Current public liability certificate - minimum cover £5,000,000. (call if an issue).
8. Employers liability insurance certificates - minimum cover £10,000,000. (call if an issue).

Please ensure consistent pricing during the festival and display your price list at all times.
Pay particular attention to staff personal hygiene, clean aprons / whites, hand washing and fingernails etc.
Site Power is now to be available £150+VAT for 16A, £200+VAT for 32A, £250 +VAT for 3 Phase**.
A 3 phase supply** may be available but must be ordered in advance. No 3 phase requests on the day!
Power will be available for units providing breakfast on Monday morning. Bring your own tested cables.
Speak to the site crew if you have any disposal issues on site.
For 2016 we will label all power cables connected & check against booked supplies on a regular basis.

No mobile sales ‘off stall’ are permitted, additional food types not disclosed may have to be removed.
Extra vehicles that need to go on and off site must use the public car park.
No vehicle movements allowed whilst the public are in the performance area.
Security; overnight guards are employed but you are responsible for your stall / vehicles.

Terms & Regulations
You are required to send full payment and all requisite documentation with your application by cheque or Transfer.
Payment to RBF Festivals Ltd HSBC, A/C: 21444573, Sort:40-32-14, Ref: add your stall name.
To secure your pitch, if you do not have all the requisite documentation please call us to discuss. If documents have
not been provided by the set up day, unless by prior arrangement, you will not be allowed to trade. Please note: there
are no refunds issued in these circumstances.
Festival Overview: The 2016 Cambridge Rock Festival will take place on 4th / 5th / 6th / 7th August, and will be
licensed for up to 5,000* people 1500 - 3000 is more likely. Many of these will be weekend campers. The audience
profile will be mostly aged 35+. Friday to Sunday are all full days for festival goers. On Thursday 7th August
performance commences at 5.30pm to midnight campers arriving 11am onwards. This night is a low cost option to
festival ticket holders (camping is also permitted); non festival people can attend for a low price of £20.00 (entry is also
discounted by £5 to CAMRA members). Due to the close proximity of Cambridge and the large number of free tickets,
which will be issued to certain organisations (local and national radio stations, newspapers, clubs etc) we expect
Thursday 4th to be well attended and offers a great start to the event (the busiest night most years).
Arrival and set you must clearly indicate your arrival day on your booking form. If you would like to have a stall at this
year’s festival please return the attached form as soon as possible. We aim to minimise stall content overlap to give
audience variety and stallholders some degree of exclusivity if possible, so please get your application in early.
Indoor Sales Stalls: There will be no space for trestle table size stalls inside the main stage marquee due to greater
numbers expected in 2014. The trading spaces will be in a dedicated marquee close to the main stage. The spaces
are intended for table top sales such as Record/CD sales, Arts and Crafts etc. We will supply a table and 2 chairs only.
Call us now if you are in need of power as this might be possible to arrange, but will add to the cost of the stall. The
additional cost will be determined by the number of stallholders requiring power.
Vehicles: Parking is free for stallholders using the car park. Vehicles that are required on your pitch must remain on
your pitch or behind throughout the festival. Vehicles belonging to indoor stall holders will only be allowed in the
loading area during set up & breakdown. At all other times they must remain in the car park.
Payment: RBF Festivals Ltd requires full payment of the total cost of your stall; please send this with your
application. If your application is declined your payment will be returned. You will be sent a letter or email before 1st
May confirming your stall place. First come first served – no cheques accepted less than 2 a months before CRF 14.

General Regulations
Stalls will not have any amplified music.
Please bring water containers for your waste water.
Fires & disposable barbecues are not permitted and the sale or use of wax torches is completely prohibited.
Stalls must not sell any alcohol, cigarettes and tobacco (this includes tombolas).
No permanent tattooing or skin piercing is allowed.
Please do not bring animals on to the site (dogs and registered guide dogs allowed – but not on food stalls).
All outdoor stalls must have a fire extinguisher (min. 2kg CO2) & a light duty fire blanket (our fire marshal can test and
supply).
All traders must comply with local regulations including safety, environmental health, fire, trading standards.
Please clear up dead tie raps, if used, try to use only white, silver or red as black or green tie raps can be hard to spot
in the long grass or heaven forbid mud! We are striving for an even greener festival so please use biodegradable
consumables. If you do not have a local supplier, Biopac Ltd sell biodegradable consumables. Tel 01386 555777
