December 23, 2015 Request for Proposal for 2017 National Multicultural Conference and Summit (NMCS) Dear Conference Planner: You are invited to submit a proposal for our 2017 National Multicultural Conference and Summit (NMCS) in accordance with the requirements set forth in the attached request for proposal (RFP), which is also available on-line at [insert website Site URL]. The vision of the National Multicultural Conference and Summit is to convene scientists, practitioners, scholars, and students, in psychology and related fields to inform and inspire multicultural theory, research, and practice. Multiculturalism is envisioned as inclusive of experiences related to age, disability, ethnicity, gender, gender identity and expression, indigenous heritage, national origin, race, religion, sexual orientation, social class and socioeconomic status, and other social identities. The NMCS is hosted every two years by four divisions of the American Psychological Association, Division 17 (Society of Counseling Psychology), Division 35 (Society for the Psychology of Women), Division 44 (Society for the Psychological Study of Lesbian, Gay, Bisexual, and Transgender Issues), and Division 45 (Society for the Psychological Study of Culture, Ethnicity, and Race). Each year the responsibility of being the Lead division alternates among the four divisions, and each division involved nominates members to a coordinating team with rotating specific responsibilities for each division coordinator. The purpose of this Request for Proposal (RFP) process is to invite event management vendors to submit a proposal to manage the 2017National Multicultural Conference and Summit. The potential meeting dates for the 2017 NMCS would be either Wednesday, January 4, 2017 through Sunday, January 8, 2017 OR Wednesday, January 11, 2017 through Sunday, January 15, 2017. Typically, the NMCS has held preconference workshops on Wednesday, conference programming on Thursday and Friday; and then professional Division executive board meetings on Saturday and/or Sunday at the hotel venue. We require event management vendors to submit bids for 3 different cities: San Diego, CA; Portland, Oregon; and Albuquerque, NM. This document contains the requirements necessary for a successful event. In addition, a copy of the 2015 NMCS Budget is attached to help with your submission. If you intend to respond to the RFP, a letter of intent, which is not binding but will greatly assist me in planning for proposal evaluation, should be submitted to me in via email by via January 4, 2016. An electronic [pdf] version of your proposal must be received not later than January 15, 2016 or your proposal will otherwise be disqualified. I anticipate that the provider whose proposal is the best solution for our project will be selected by January 25, 2016. We will notify all providers of the status of their proposal whether they are disqualified, rejected, or unsuccessful although responsive.
