Order of Completion for the worksheets There are only limited worksheets in the HealthAMMS Benefits Realisation Model that require completion. Each worksheet is labelled at the bottom and the order in which the worksheets should be completed is: 1. Input – General 2. Input – Process 3. Project Costs (NB only the depreciation rates are required for this worksheet) The tables and graphs on the remaining worksheets are all calculated from the values entered into the three worksheets above. Inputting fields The fields on the worksheets that have been shaded yellow are the only fields that need to be completed. If the other fields are overtyped then the calculations may be in error. The shaded fields or columns of shaded fields have a comment box with additional details about what is required to be entered into the field. The comment box will appear by simply moving the mouse over the yellow input cell. The majority of effort in inputting details to the spreadsheets will occur in the ‘Input – Process’ worksheet. This is where the time taken and resource cost for each step of the processes (current and post HealthAMMS implementation) surrounding Asset Management and Maintenance is to be entered. The volume is the number of times each transaction occurs in a twelve (12) month period and is also entered in this worksheet. FINAL Summary Worksheet This worksheet provides an overall picture of only the process improvements that should be derived from the implementation of HealthAMMS. Summary – OS Impact Worksheet This worksheet provides an overall picture of the HealthAMMS implementation with all costs amortised and the benefits associated with process improvements and increase longevity of assets included. Input – General Worksheet This is the main input sheet for the HealthAMMS Benefits Realisation Model. The categories of the details that need to be entered are for: 1. Fixed Assets 2. Plant and Equipment Assets 3. Change in Maintenance and Operations Cost 4. Change in the number of Maintenance transaction 5. Confidence level of achieving the process and extending the longevity of the assets 6. Estimate of errors in the current and future processes and the amount of work involved in correcting those errors 7. Project outlays for the initial HealthAMMS implementation 8. Project outlays for the ongoing operation of the HealthAMMS systems. Input – Process Worksheet In this worksheet the current processes and the steps/activities within the processes are input into the model. The time to complete each step and the cost of the resource completing each step is also entered. The cost of each step and the total cost are calculated from the time and resource cost entered. The error handling and maintenance and enquiries processes are defined in the table following the Asset Management and Maintenance processes. The estimated process volumes for the number of times the process is completed in one year is also entered in this worksheet. The volume of transactions is required for the current situation and the expected situation once HealthAMMS has been implemented. The cost of resources is the final table in this worksheet. FINAL Benefits Worksheet This worksheet focuses on the calculation of the value of benefits. The first section of the table relates to the calculation of the benefits associated with the process improvements. The second section of the table relates to the calculation of the benefits associated with other benefits. Project Costs Worksheets This worksheet focuses on the calculation of the project costs for HealthAMMS. There are the initial implementation costs and the recurrent costs. This worksheet is also where the applicable depreciation rate is entered. Process Savings Worksheet This worksheet calculates the process costs on a year be year basis applying the change in maintenance transactions factor from the Input – general worksheet. This gives a view of what the impact of the HealthAMMS system will be over time as it calculates the costs of the current processes going forward as well as the estimated cost of the processes post HealthAMMS implementation.
