Policies & Procedures
Based on Roberts Rules of Order, it has been determined Board of Director’s elections will not take place when
candidates are running unopposed. Candidate nominations will be distributed to the organization’s membership
by the Past President. If only one name for each position is submitted, those individuals will win by acclimation.
Bylaws
An online bylaw vote was facilitated on January 3, 2012 to combine the Publications and Communications
Committees into one entitled Media and Communications Committee. We received 43 votes; 41 in favor and
two not recording a vote. This change helps to eliminate redundancy of position responsibilities within the
organization’s committee structure.

Board Position Descriptions
A few position description changes were made this year; based on the bylaw vote, the Media and Communications
Committee was added, and awards and elections are now the responsibility of the Bylaws Committee.
2013 Goals
The Committee will continue to partner with the Board of Directors to make any needed revisions or additions to
the organization’s Policies & Procedures and Association’s Bylaws.
Media and Communications Committee

Highlights for 2013:
LinkedIn: cleaned up our LinkedIn WI-ACE Group . In the beginning of 2013 we had over 300 members who
were in this group. By the summer of 2013 I was able to delete any group member that is not officially a WI-ACE
member or has not attended a conference in a year or so. Our LinkedIn Group member count is around 70. Leah
now has the ability to accept/reject LinkedIn members who are requesting to join the group.
Signage: Thanks to the help of Anna we are now printing our tri-folds at Alliance Laundry using their printing
department. The cost to print our tri-folds for the Spring Conference was $15.25. By having the tri-folds printed
at Alliance Laundry we are saving the WI-ACE group money. We also did not have any cost of printing signs for the
Spring Conference as well for our sponsors. This Spring we were able to use the same signage we had from our
previous sponsors. Overall before the Winter Conference in December our total cost for printing of signage and
tri-folds for 2013 was $15.25. I have asked Leah to continue to work with Anna on the printing of our tri-folds due
to the cost saving.

The committee has added conference photos to Facebook online - Wisconsin - Association of Colleges and
Employers, Inc (WI-ACE), which is also connected to our new WI-ACE website. Several PowerPoint presentations
have been created to use at meetings for sharing and historical reference. The committee will work on a
PowerPoint presentation for the upcoming December conference entitled “A Bridge to the Next 50 Years.

* Marketed WI-ACE at some career fairs to various companies, I brought all the WI-ACE marketing supplies with
me and was able to get our new and updated brochures
*Met with a couple career professionals who haven’t come in a while to see if why and if we can get some of
them back.
*Drafted a proposal for vendor sponsorship levels at future conferences

For 2012, WI-ACE continued to utilize and leverage the new technologies that were implemented in the last
couple of years. The www.wiace.org website and Smart Events, the system/site we use for our event and
registration management, are continuing to serve us well and have made managing information much easier
for everyone involved. We have stripped away the “log-in” feature on the website for our members, and made
all of our information open to everyone; excluding a full membership list, which they have to request so we can
verify that they are a good-standing member. This has made it easier for our members to access information,
and eliminated the need for members, and new members, to create an online account on our website (which was
deemed unnecessary). The board members still have administration login capabilities so that they can update/
edit their assigned web content. We are also now manually updating the career fair dates/information calendar
that we have posted on the website, rather than asking for that information from members. We have had the
ability to have students that are working within the offices of our board members, generate that information and
then we have manually imported the information into our Google calendar which is linked to the website. We are
continuing to use Google Docs (Google Drive) for our document storage and retention site, which allows the board
to better share information. Smart Events is still working great for our registration system, both for conferences
and membership, as well as tracking other information such as conference speakers, sponsorship, and board
member information. For better collaboration, we started evaluating other payment gateway options and hope to
transition to a new partner for collecting online credit payments for 2013. For 2013, we will continue to look for
technology resources that can help the organization run more efficiently, and effectively.

Summary
Highlights in 2012
● New Committee was created: Media and Communication combining Publication and Communications
committees.
● Created a membership “dream team” of representatives from all 4 areas served.
● Under Emily’s leadership the website continued to develop and expand including member only access
discussions and change throughout 2012
● Conferences continued to receive positive feedback.
● Smart Events continues to prove a valuable association tracking and event coordination website.
● Both the website and the event system allowed WI-ACE valuable cost and time saving efficiencies
throughout 2012.

Attracting membership continues to be a challenge, as it has been in the last few years, and efforts were
again focused on maintaining and growing membership and conference attendance. We actively recruited
members and attendees through one on one conversation, social media, direct emails, and sponsorship at
SHRM events.
Non-renewal strategies became a primary membership focus in 2012
We also had the buddy program again to encourage conference attendance. It will be a continued goal
of the board, specifically membership and marketing to build awareness of the organization and grow
membership.
Lastly, WI-ACE is in good financial and membership standings. There is tremendous confidence in the new
leadership for continued innovation and ensuring continued success within the organization.
