Position Description Title: Administrative & Accounts Officer Business Division: SAE Finance Responsible to: Director of Finance – Europe South 1. Primary Objectives of Job: The Administrative & Accounts Officer, a member of the SAE Finance Team, is involved in the preparation and review of financial reporting processes and documents with a view to ensuring that agreed financial controls and processes are effectively operational at all times. In the accounts payable function, this position will process invoices, raise purchase orders and process employees’ expense claims. In accounts receivable, it will collect and record payments in line with company credit procedures. Other aspects include reconciling accounts, preparing management statements and reports, or filing VAT and tax returns. Actively participate in meetings of the campus and finance networks ii. Maintain financial information, files and records (e.g. copies of paid invoices, checks, documentation, reimbursements, reports, vendor files, receipts, etc.) for the purpose of ensuring the availability of documentation and compliance with established policies and regulatory guidelines Financial Transaction Entry, Review and Processing iii. Processing and coding invoices, credit notes and receipts iv. Ensuring there is a clear record of financial transactions (income and expenditure) in accordance with organisational and tax authority requirements v. Responding to queries from customers and chasing outstanding payment vi. Checking and verifying bank transactions vii. Identifying and correcting or referring any errors or accounting discrepancies viii. Delivering reliable administrative accounting support and customer service ix.
