Job Description Office Manager Salary: £19-­‐22,000 pro rata Redland, Bristol Monday -­‐ Friday 25+ hours per week, Duties and Responsibilities This is an exciting opportunity to work for an independent plumbing and heating business that are looking to expand their team due to continued success. We deliver high quality plumbing services and an excellent bathroom design and installation service. We are also expanding into providing and promoting the ‘green’ eco-­‐friendly plumbing products suitable for domestic properties, we anticipate this being an area of growth. The Administration Coordinator position will be split into two roles. The primary role will encompass 90% of your time and will include excellent Customer Service, general Administration, and Maintaining the various internal systems including the database. The secondary role will involve organising the marketing of the company. You will be responsible for answering the phone and taking calls from engineers, suppliers, customers and fielding sales calls. When a customer call is taken it will be your role to complete a thorough enquiry form ensuring that all relevant information is taken including contact details, timescales and relevant job information. Organisation is imperative in this role as you will be responsible for the management of engineer’s diaries and ensuring that they are dispatched to the correct job and the system has been correctly updated. These jobs will vary in length and whilst full training is given, the successful candidate will prove themselves to be a logical and practical thinker. Three Sixty Services have invested in an easy to use database as well as various other paper and electronic systems. As part of your role you will ensure that all information regarding client calls, correspondence, invoicing, etc are maintained and fully up to date so that at any time anyone in the business can access the progress of each client. Providing excellent customer satisfaction is key to Three Sixty Services’ continued success, therefore you will need to adopt a friendly and professional approach at all times. As part of your role you will follow-­‐up estimates to see if clients want to go ahead with quoted work, as well as issuing and following up invoices to ensure that payment has been made. This will require a firm and fair hand and the successful candidate will recognise the balance. Your role will also be to conduct online research to find costings for parts and materials for jobs to assist the engineers with their quotations. Also to liaise with suppliers to ensure the correct items are ordered and delivered on time and any returns are made in the proper manner. If appropriate, you will be offered the opportunity to oversee and populate Three Sixty Services’ presence in social media. You will be given direction and company information to delivery content on social media sites including Facebook and Twitter. Once you have a thorough understanding of the business you will have the opportunity to use your creative flare to create your own blogs and postings. It is critical that whilst you are able to work autonomously, you understand that if there is an area where you are unsure you must ask questions to ensure that the correct procedures have been met.
