Article Seven: Duties of Subcommittee Chairs

Clause A) Duties of all Subcommittee Chairs
Goal/Purpose
The Purpose of Subcommittee Chairs is to ensure proper that all subcommittee issues are
addressed with the appropriate attention to detail.
Responsibilities
 Adhere to the responsibilities of all IRC Elected Members (Section A, Article
One)
 Attend any Subcommittee Chair meetings at the instruction of the VP Internal
Affairs
 Ensure that the VP Internal Affairs is knowledgeable about the events and issues
regarding the Subcommittee Chair’s position, so that he/she may pass that
information onto other Subcommittee Chairs and/or the rest of the IRC Executive
when it is pertinent.
 During the transition period of the outgoing year, they must produce and submit a
Transition Report (guideline Section C, Article Three) to the outgoing VP
Administration before the term is over.
 Before each IRC Information Proper meeting, they must submit a typed summary
to the VP Administration, of the information intended to be presented during
Committee Information Period.
Clause B) Duties of Facilities Representative
Goal/Purpose
The Facilities Representative is responsible for dealing with all facilities related matters
in residence.
Responsibilities
 Adhere to the responsibilities of all Subcommittee Chairs (Section A, Article
Seven, Clause A)
 Act as the IRC Representative for all issues of residence facilities. This includes
addressing any questions brought to the IRC concerning Residence Facilities.
 Chair the IRC Facilities Committee
 Represent the IRC on the Facilities Consultation Committee
 Act as a liaison between the IRC and Housing & Conference Services Residence
Facilities Specialists.
 If any changes are made to the Residence Facilities policies or any new policies
are brought forward by the Housing & Conference Services Residence Facilities
Specialists, bring to the IRC Facilities Committee and the Inter-Residence
Council for a vote of endorsement. The policies include but is not limited to: The
Lock-Out Policy, Work Priority Guideline, Residence Damage Programme,
Decorating Aesthetics Policy, Policy on the Use of Residence Building Balconies,
Capital Renew Programme.
Clause C) Duties of Student Dining Representative
Goal/Purpose
The Student Dining Representative is responsible for dealing with all Hospitality related
matters that can aid Hospitality Services with improving their service to their customers.
Responsibilities
 Adhere to the responsibilities of all Subcommittee Chairs (Section A, Article
Seven, Clause A)
 Act as the IRC Representative for all issues of Student Dining. This includes
addressing any questions brought to the IRC concerning Student Dining.
 Chair the IRC Student Dining Committee (SDC).
 Organize the SDC Trip to select Ontario universities and report the findings at
IRC Proper, IRC SDC, and Hospitality Services.
 Ensure students’ opinions are understood by the panel of Hospitality executives at
the SDC
 Organize the creation and assign chairs for the SDC sub-committees: Nutrition
and Menu, and Communications. If the Environment Representative is unable to
attend IRC SDC due to academic purposes, the SD Representative shall assign a
chair to the Environment sub-committee.
 Chair the SDC Finance sub-committee, which deals with the preparation and
discussion of Hospitality Services’ Operating Budget for the upcoming year.
Clause D) Duties of Environment Representative
Goal/Purpose
The Environment Representative is responsible for dealing with all environmental
matters in residence.
Responsibilities
 Adhere to the responsibilities of all Subcommittee Chairs (Section A, Article
Seven, Clause A)
 Act as the IRC Representative for all issues pertaining to of the Environment.
This includes addressing any questions brought to the IRC concerning the
Environment.
 Represent the IRC on Environmental issues at the IRC Facilities Committee, if
the IRC Environment Committee does not exist.
 Chair the IRC Environment Committee (at the Environment Representative’s
discretion)






Represent the IRC on Environmental issues at the Facilities Consultation
Committee
Represent the IRC on Environmental issues at the Student Dining Committee
Chair the IRC SDC Environment sub-committee
Act as a liaison between IRC and all on-campus Green groups that includes and is
not limited to: MACgreen and McMaster Recycle.
Represent the IRC on Environmental issues at the University Environment
Steering Committee
Run and organize the Ink Cartridge Recycling and Pop Tab Recycling campaigns
unless defeated by a 2/3rd majority vote at Proper (as per proposal)
Clause E) Duties of Security Representative
Goal/Purpose
The Security Representative is responsible for dealing with all security related matters
both within the residences and anywhere on campus.
Responsibilities
 Adhere to the responsibilities of all Subcommittee Chairs (Section A, Article
Seven, Clause A)
 Act as the IRC Representative for all issues of Security. This includes addressing
any questions brought to the IRC concerning on-campus Security.
 Represent the IRC on on-campus Security issues at meetings with the McMaster
University Sergeant Crime Prevention.
 Act as a liaison with McMaster Security services through the Sergeant Crime
Prevention
 Organize and run the IRC External or Internal Security Audits (depending on the
academic year of the Security Representative’s term).
 Report the findings of the IRC External or Internal Security Audit at IRC Proper,
IRC Facilities Committee,McMaster Security, and Residence Facilities.
 Organize and run the Anti-Tailgating Campaign in the residences in conjunction
with McMaster Security Services
 Organize and compile security badges for each elected and hired position on the
Inter-Residence Council by submitting names and photos to University
Technology Services.
 Represent the IRC on security on-campus issues at the Facilities Consultation
Committee
 Represent the IRC on security on-campus issues at the IRC Facilities Committee,
if the IRC Security Committee does not exist.
 Chair the IRC Security Committee (at the Security Representative’s discretion)
Clause F) Duties of Telecommunications Representative
Goal/Purpose
The Telecommunications Representative is responsible for dealing with any issues
relating to Phone Services and the Internet. This includes representing the residence
students to McMaster's University Technology Services (UTS).
Responsibilities
 Adhere to the responsibilities of all Subcommittee Chairs (Section A, Article
Seven, Clause A)
 Act as the IRC Representative for all issues of Telecommunication services
(Internet and phone). This includes dealing with any Telecommunication related
issues or questions brought to the Telecommunications Representative’s attention.
 Represent the IRC on Telecommunication issues at meetings with UTS
 Represent the IRC on Telecommunication issues at the IRC Facilities Committee
 Chair the IRC Telecommunications Committee (at the Telecommunication
Representative’s discretion)
 Give input and suggestions for new services and improvements provided by UTS.
 Assist VP Communications with the maintenance of the IRC web page.
