From To Re : The Administration : Intermediate Group Instructors : Pre and Post Mid-term Issues December 2015 I. i. Mid-term 02 will be given on Thursday, December 17, 2015 at 12:40. ii. All classes will take the exam in their own classrooms. II. The Mid-term will comprise 5 sections: While-Listening, Writing, Language, Vocabulary and Reading Section. III. Please make sure you do the following: i. PRE-MID-TERM - Prepare a seating chart (different for each Mid-term) in which all students face the windows. Check that the students are seated accordingly before the exam starts. - Please make sure that the students turn off and leave their cell phones either in their bags or on the teacher’s desk. - MT flash discs will be collected by the instructors together with the Mid-term material. Please check your flash disc and CD player before going into the classroom. - Count and check your papers and inform the Administration about misprinted or missing pages before going into the classroom. - Enter the classroom 3-4 minutes early so that you can start the listening on time. The bell will ring at 12:40 sharp so that all classes can start the exam at the same time. ii. DURING MID-TERM - Do not exceed the time allotted. - IN CASE OF A POWER CUT, THE TAPESCRIPT OF THE LISTENING COMPONENT WILL BE READ BY THE INSTRUCTOR PROCTORING THE EXAM. THEREFORE, PLEASE FOLLOW THE TAPESCRIPT AS STUDENTS LISTEN TO THE RECORDING. - Inform your students about the number of pages in the exam booklet and ask them to check the pages one by one. - Remind your students that they should read the instructions very carefully. Do not explain or read the instructions yourself. - The classroom doors will be closed only for the Listening section. Make sure you collect the listening papers before giving out the Writing Section and the main bulk. - DO NOT LET LATECOMERS ENTER THE CLASSROOM DURING LISTENING SECTION, BUT THEY CAN TAKE THE REST OF THE EXAM. - PLEASE DO NOT ALLOW THE STUDENTS TO LEAVE THE CLASSROOM UNTIL THEY FINISH THE EXAM. - PLEASE INFORM YOUR STUDENTS THAT THEY WILL NOT BE ALLOWED TO LEAVE THE CLASSROOM IN THE LAST 10 MINUTES OF THE EXAM. iii. POST-MID-TERM - Mid-Term 02 standardization for the writing section will be done in D building DVR6 on December 18, Friday. - Procedure for writing standardization is as follows: Each teacher will receive a set of writing papers and a grading chart. Teachers will evaluate each paper and negotiate on the grades. - Start grading your writing papers after the MT Standardization has been finalized. - Do not accept any answer not indicated on the answer key. If, however, acceptable answers appear, such answers should be written on the Query Sheets after discussing them with the other instructors in the staffroom. - Write the total grade of each section into the box provided at the end of each section. - Do not finalize the grades before you receive the Revised Marking Scheme. - Write the section grades and the OVERALL GRADE in the boxes provided on the cover page of the Mid-term. Round up the overall grade ONLY. - Observe the deadlines in the Post-Mid-term Timetable. - Take your Mid-term papers to the Archives Room (in alphabetical order) after going over them in class and having your students sign them. PROCEDURE FOR GRADING THE WRITING SECTION OF THE MID-TERM 1. Immediately after the Mid-term, please put the Writing Section papers in alphabetical order and number them. 2. Exchange the papers with your partner as indicated on the pair-up list. Make sure you count the papers when you receive and hand over your set. 3. While reading your partner’s papers, do not make any corrections or write any comments on the exam papers. Take notes about the individual students on a separate sheet of paper so that you can justify your grades while finalizing them with your partner. 4. Exchange papers with your partner. You can make corrections on your own class set. However, the comments section should be filled in when you get together with your partner to finalize the grades. 5. Get together with your partner and compare your grades. If your grades differ by 3 points or less, take the average to calculate the final grade. Write only the final grade on the exam paper and put your initials (both readers). If the difference is more than 3 points, read the paper again and decide on a final grade. If you still cannot agree on a grade with your partner, get another colleague to read the paper and try to reach a consensus taking the third opinion into consideration.
