Blank Sheet Method
Preprinted Method
Printing on Blank Perforated Sheets or Plain Paper
It’s easy to print W-2s and W-3s using the Blank Sheet
Method. No need to collate employee copies or align your
printer. You will need the 2014 CheckMark Payroll update,
version 14.0.x to print 2014 W-2s.
Also order the 2015 Payroll Update online or mail/fax in the
order form. No need to wait. Install your 2015 Payroll Update
immediately and rest easy knowing you’re ready to start the
new year. Our Automatic Tax Table Updates (ATTU) will help
provide seamless transition from one year to another.
Installing the 2015 version will not effect any 2014
information.
How It Works:
The diagram on this page demonstrates the paper needed to
print all of your W-2s and W-3s using CheckMark Payroll and
a laser or inkjet printer.
4-Up Blank Sheets:
CheckMark Payroll will print all necessary W-2 copies for one
employee on one 4-Up Blank Perforated Sheet. No collating
is required and envelopes are included.
2-Up Blank Perforated Sheets:
Use to print W-2s for two different employees on one Blank
Perforated Sheet. Use this sheet to print the employer’s state
and local copies, when not submitting electronically.
Plain Paper:
Use plain paper to print W-2 Federal Copy-A and W-3
Transmittal Copies. Red-printed copies are not required for
these forms. Use white 20 lb. copier or printer paper.
Printing on Preprinted Forms
Laser Sets are preprinted, single sheets for laser or inkjet
printers. Envelopes are included. CheckMark Payroll prints
one W-2 for two different employees on each sheet.
When using the Preprinted Method, some alignment of print
fields may be required. The employee W-2 copies will need
to be separated and collated.
How Many Should You Order?
Place your order based on the number of employees. Be
sure to include employees who are inactive. When ordering
Preprinted W-2 sets, you’ll receive the W-2 forms,
compatible envelopes, and two(2) W-3s.
You’ll need 4-Part Sets if you process payroll in a state that
does not have withholding tax.
You’ll need 6-Part Sets if you process payroll in a state that
has a state withholding tax.
You’ll need 8-Part Sets if you process payroll in a state that
has both state and local withholding taxes.

Place your order based on the number of sheets. You’ll need

sure to include employees who are inactive. 4-Up packs do

IRS Publication 1141, Dated 5/28/2014, Section 2.3, .05 states:
“Employee copies of Form W-2 (Copies B, C, and 2), including
those that are printed on a single sheet of paper, must be easily
separated. The best method of separation is to provide
perforations between the individual copies. Each copy should be
easily distinguished whatever method of separation is used.”
