1. PLANNING AND PRIORITISING
YOUR WORK
2
Every day you have to plan your work and prioritise tasks. You may
not always do this on your own, as sometimes you need to negotiate
targets with your line manager. If you work as a member of a team,
you may have to keep colleagues informed about your progress.
In other words, you are accountable to others and you must take
responsibility for your actions. This makes it important to plan
your work effectively and to negotiate what you are doing, to what
standard and to what deadline.
As part of your Apprenticeship, you need to demonstrate that you
understand how to plan and prioritise your workload in a business
environment, and that you are accountable for your own work. You
also need to show how you deal with problems in the workplace.
KNOWLEDGE AND UNDERSTANDING
When planning your work, the first thing to do is to identify your
objectives. This is easier if you talk through the work with your
supervisor or line manager. Find out what exactly is needed and
when it is needed by. Then make a draft plan showing how you
intend to complete the work to the deadline. Initially identify
everything that you need to do – this can be listed in any order – and
then decide upon some interim dates. Once this is done you are
then in a position to develop your final plan, making adjustments as
required.
Make sure that you know who you are accountable to for each piece
of work, so that you can keep the relevant supervisor or manager
informed about what is happening, and also so you know who to
turn to if you need support and advice.

Task 1a
Suppose that your organisation holds a Family Day Out each
summer in the gardens of a stately home. The day includes a fancy
dress competition, children’s games and a barbeque. The money
raised from a raffle and the food and drink stalls is given to local
charities. Your line manager asks you to help organise this year’s
event.

Successful events depend
on careful planning.
Explain why, when taking on this new challenge, you would need to
negotiate targets, plan and prioritise your contribution to the event
and why you would need to keep your line manager informed about
your plan and the progress you are making.

Task 1b
You have started working on organising the Family Day Out.
Describe how you will plan and prioritise this work, and how you will
set targets and timescales.
Describe the type of problems you may encounter. Explain how you
would deal with each problem and, as you might not be able to deal
with every eventuality, describe when you might need to get further
support or refer the problem to other people in your organisation.
