Final Exam Scheduling in University Classrooms Purpose To define university procedure on scheduling and the use of university classrooms during final exams Source Classroom Scheduling Applicability Any ASU Department/School/College that Schedules Classes Procedure Final examinations are required in all classes during the period scheduled. Final exams are included in the contact hour calculation that defines the unit of credit. A final examination may be defined as a final presentation, a final paper, a final project, etc. An examination does not necessarily have to be given in the form of a final “test”; nor does it have to be in a classroom (http://www.asu.edu/aad/manuals/acd/acd304-01.html). All classes held in university classroom space will have a final exam scheduled by Classroom Scheduling for 1 hour and 50 minutes during the final exam week. Any finals for classes normally held in nonstandard time frames, as defined by the Provost Office, will be scheduled by Classroom Scheduling. Once these non-standard final exams have been scheduled, a notice will be sent through the academic department offering the class to the instructor, who will then inform the students accordingly of the day, time, and location of their non-standard final exam. Scheduling of st final exams will begin after the 21 day of classes, and Classroom Scheduling will provide the departments with a complete exam schedule at least 1 month prior to the term ending. Student sponsored events are prohibited during final exam week. All other event requests will be reviewed once the final exam schedule has been completed and will be scheduled based on the availability of rooms (see Event Scheduling in University Classrooms). Departments can request nonmandatory review sessions on reading day and during final exam week after all exams have been scheduled; no new material can be introduced during these sessions. All other event requests will be reviewed once the final exam schedule has been completed and will be scheduled based on the availability of rooms (see Event Scheduling in University Classrooms). Except to resolve the situations described below, no changes may be made to the final exam schedule without written approval from the Dean of the college in which the course is offered and a class roster indicating approval of the change by all enrolled students. • If a conflict occurs, or a student has more than three exams in one day, the instructor may be consulted about an individual schedule adjustment. If necessary, the matter may be pursued further with the appropriate dean. This procedure applies to conflicts among any combination of university campuses including off campus classes. Off campus classes: • • If the final exam is to be held at an off campus facility – It is the departments responsibility to make final exam arrangements with the off campus facility. If the final exam is to be held in an academic space on campus – It is the department’s responsibility to contact Classroom Scheduling to make arrangements for the final exam to be held in a university classroom space. The final exam will be scheduled according to the final exam policies. University rules for the use of classroom space: • No food and drink allowed in University Classrooms.
