UCD Registration FAQ and Calendar DPS ELA Program Fall 2012 This packet includes: FAQ Calendar with Dates and Deadlines Contact Reference: Continuing and Professional Education (CPE): 303.315.4985/ cpe@ucdenver.edu FAQ I have to take these courses—do I have to pay for them? If you have been designated by DPS to take UCD ELA courses, then you do NOT have to pay for the courses; DPS pays for the courses. DPS will only pay for the course the first time you take it. You will be responsible for paying for the course if: • You have to retake the course because you received below a C the first time • You dropped the course after the drop‐with‐refund deadline and now you are taking the course again • You did not sign a confidential release form from the UCD CPE office allowing UCD to release your grades to DPS. What do I do if I am making up an incomplete? If you need to take a class to make up an incomplete you received in a previous semester, you should first look at the course schedule on the DPS Schoolnet system to identify which class you would like to attend to make up your incomplete. Then, you need to contact the instructor of that section and request permission to participate. If the instructor agrees to your finishing the incomplete in his/her class, you and the instructor must complete the “Incomplete Approval form” on the first day of class. Then the instructor or you can fax the form to CPE at 303‐315‐6313. Your instructor will have you added to the online course shell. You do NOT register for the course in the UC Denver online registration system. Your registration is the Incomplete Approval Form. NOTE: If you are making up an incomplete, you do not register for the course the second time you take it. If you do register when completing an incomplete, as stated above DPS does not pay for the course a second time. This means you will be financially responsible for the tuition. CPE MUST receive the Incomplete Approval from if you want to receive credit. Registration, where do I start? Registration includes two steps: Pre‐registration and Registration. The purpose of pre‐registration is to get you into the UCD system and to have your Student ID created or re‐activated for you. You need your Student ID in order to register. You do NOT have to pre‐register, if you have taken UCD courses in Summer 2012 or more recently. NOTE! YOU MUST PRE‐REGISTER before REGISTERING if: ‐You have not taken a class with UCD since the Fall 2011 semester. ‐You have graduated from UCD before or during Summer 2012 semester. ‐You have never taken a class with UCD before. Instructions for Pre‐registration & Registration can be found on the DPS ELA web site at http://ela.dpsk12.org/, you may request the same instructions be e‐mailed to you from the CPE office of UCD. PLEASE NOTE THE REGISTRATION DEADLINES LISTED IN THE CALENDAR BELOW. I have taken UCD classes, but not within the past year, why can’t I register? This means you will have to pre‐register again before registering. (See the Pre‐Registration guide). NOTE: In Pre‐registration, when it asks “Have you taken UC classes before?” please click “Yes”. I graduated from UCD last semester, but when I try to Register it says I do not have access, what do I do? This means that your UCD Access account has been deactivated and you must complete Pre‐Registration to reactivate you account. (See the Pre‐Registration guide). I have never taken UCD classes before, what do I do? This means you have to complete both Pre‐Registration, to receive your Student ID, and Registration. You need your Student ID in order to register. (See the Pre‐Registration guide). I have pre‐registered, how do I register? OR I do not have to pre‐register because I have taken UCD classes within the past year. How do I register? To register, you would need the 5‐digit class number. The class number (formally known as the call number) is the most important for registration! This information is provided for you on the DPS Schoolnet system in the course schedule. You can also find more information on the DPS ELA website: http://ela.dpsk12.org/ Once you have all the required course information and have completed pre registration, receiving your Student ID via email or have an active Student ID because you’ve taken courses at UC Denver in Spring 2012 or more recently, you may continue to registration. (Please see the Registration instructions.) *****************************I have forgotten my Student ID ************************* Don’t worry! Just call the CPE office at 303.315.4985 I logged into UCD Access, but I can’t register for my course because the system says I am not eligible, what should I do? OR I have taken classes within the past year at UCD, but when I go to register in UCD Access, it says that I am not authorized or eligible to register, what do I do? Most likely this means you will need to “Self term activate” These steps are outlined in the registration instructions. (See Page 18) If you try self term activation still get this error message, please call CPE at 303‐315‐4985 I have finisher Registering and it is asking for payment, what do I do? You do not need to make a payment, this is just a notice that there is a charge for your course pending on your account. This will be removed at the end of the semester once DPS has been billed and payment received by UCD and dispersed to your account. I have a question about my bill? If the question is related to courses other than your DPS ELA courses, please contact the Bursar’s office: 303.556.5710. Otherwise, call CPE at 303‐315‐4985. Have your Student ID ready. I am trying to register and it says I can’t because I owe payment? You should not be receiving this message for any of your DPS ELA courses because DPS pays for your tuition. If you are taking or have taken additional courses at UCD, those may be the reason for the message. Contact the CPE office at 303.315.4985. Have your Student ID ready. I am trying to register and it says I have a hold on my account, what do I do? You will need to determine what kind of hold is on your account by looking at you UCD Access account. Once you know what kind of hold you have you will need to contact the appropriate office (i.e.; Bursar, Registrar, etc) to determine the steps you need to complete to have the hold removed so that you may register. I did not register online by registration deadline on the first day of class. What do I do? You will need to contact the CPE office at 303‐315‐4985 or email cpe@ucdenver.edu so that we can determine if we will be able to add you to the course. Your ability to add after the registration deadline will be determined on a case by case basis depending upon a variety of factors, including instructor approval, attendance, and room in the section. You will need to complete and sign a Schedule Adjustment Form. Have your instructor sign it. Fax it to CPE, Attn: DPS ELA, at 303‐315‐6313 or scan and e‐mail it to cpe@ucdenver.edu, please do NOT mail this form. Note: You as the student signs Part I and fills in Part II information. Your instructor signs Part II. After you submit the form please follow up with a phone call to our office at 303‐315‐4985 or email cpe@ucdenver.edu so we can confirm that we’ve received it. About two weeks after you have submitted the form to us, check on UCD Access to see that the course was added to your schedule. To obtain a copy of the Schedule Adjustment Form you need a form, contact our office via e‐mail cpe@ucdenver.edu or call 303‐315‐4985. How do I drop a course? If you want to drop a course, MAKE SURE TO DROP THE COURSE BEFORE THE DROP WITH REFUND DEADLINE! This deadline is TBD (depending on which section you are registered for) for the Summer 2012 semester. You will NOT be able to drop/withdraw from this course verbally. You may drop a course online in UCD Access up to the DROP WITH REFUND DEADLINE – TBD (depending on which section you are registered for) After this date, a Schedule Adjustment Form is required with both your and the instructor’s signatures. NOTE: DPS will not be refunded for the course if it is dropped after TBD (depending on which section you are registered for). This means you will be financially responsible for the course the next time you take it. I had circumstances beyond my control that prevented me from dropping the course before the drop deadline, what can I do? You may file a tuition appeal with the Records Office. Click on the link or Visit www.ucdenver.edu/registrar. Click on “Students” and then click on “Tuition Appeals” and follow the instructions. What if I can’t access the eCollege online portion of the class? If you are registered or if you have submitted a “Schedule Adjustment form” or an “Incomplete Approval form” to the CPE office with the instructor’s signature then you need to first contact the instructor. If you can’t contact the instructor, contact CPE at cpe@ucdenver.edu or 303.315.4985. I’d like to view my grades, unofficial transcript, billing information, and/or see what courses I’ve registered for, where do I find this information? Log into UCD Access with your Username and Password. Here you can view your grades, look at an unofficial transcript, order official transcripts, view billing information, pay your tuition, see your class schedule, or register for courses. NOTE: Fall grades are tentatively scheduled to post on 12/27/2012 I’d like to order an official transcript, whom do I contact? Summer 2012 grades will be available after 12/27/2012 provided registrations and grades are received according to posted due dates. You can order official transcripts online at www.ucdenver.edu/registrar or call the Registrar’s Office at 303.556.2389. I do not agree with my grade or I thought I received a different grade, who do I talk to? You will need to contact your instructor. Calendar and Deadlines Date Important Calendar Items for DPS‐ELA Summer 2011 Courses
6/1/2012 Student pre‐registration period. • Note: Please read the FAQ section above along with the Pre‐registration guide on pages 5‐11. • You must pre‐register before registering if you have never taken UCD courses before OR if you have not taken them since Fall 2011.
Contact CPE office if you have any problems with pre‐registration. • You need you Student ID to access the UCD Access system to register for your DPS‐ELA course. 6/18/2012 ‐ the first day class of your section. Online registration period. •

Note: Make sure you have completed or were not required to complete Pre‐

After online registration closes (date depends on what section your enrolled), you will need a permission number to register online.
