Program Coordinator Meeting Minutes May 11th, 2009 1. Please take a look at the stretching working that is attached and take a moment to stretch at your desks and learn a few techniques for relieving stress throughout the workday. 2. Thank you for your participation in the Program Coordinator Survey. To summarize, most were happy with the meeting format, as well as the content that is discussed. We will try to move the meetings back to Tuesdays as soon as an appropriate meeting space is available. Amy and Cindy proposed starting a “brown bag” meeting once per month on a specific topic. If there are any “brown bag” topics that you would like to have presented or to organize separate meetings for, please let Amy or Cindy know. 3. Incoming Residents and Fellows a. Business Cards- You may now log into the Alphagraphics website to order business cards. Sue has emailed you a list of pager numbers and email addresses, so please refer to those if you would like that information included on the business cards. If you have any questions about your log-in for ordering, please contact Jayne. b. Tracking Sheets- Please see the attached the Tracking Incoming spreadsheet. This spreadsheet lists every incoming resident and fellow and the documents that we are still missing for their file. Please note that GME can accept originals or copies of employment and training verifications, but an original verification MUST be in your office or ours. For Gap verifications, we can accept a written statement from the resident or fellow. IMPORTANT: All employment and training verifications MUST be dated AFTER the resident or fellow has completed it. We cannot accept verifications if the resident or fellow is still currently in the program. Please see attached the full verification guidelines, as well as templates that you may use for requesting this information. c. Hospital Orientation- please see attached the Hospital Orientation sign-up sheet. If your residents or fellows are not signed up, please let us know which day they will attend. If they cannot attend either date, orientation materials will be available online. d. Background Check Update- The background check process went very smoothly this year, and we thank you for getting correct email addresses to us before the Pre-Employ email was sent out in early April. This was vital for a timely information return. e. Please track the time that your incoming residents/fellows spend doing orientation activities. You will need to email your program’s orientation schedule to Sue and confirm who attends each day and for how long. This enables the residents and fellows to be paid correctly for the time prior to their contractual start date. GME will manage the online training module payments. Pre-contractual hours worked through June 19th MUST be turned into Sue by June 17th. The first paycheck is on June 26th. 4. E*Value Update: There is still availability for one shift building session on May 29th. It will be held from 8 AM to 12 Noon in the BICC. Please contact Christine if you would like to sign up. 5. GMEC Resident/Fellow Members. Please see attached a list of open spots for resident/fellow participation on GMEC. Residents and fellows must be nominated by their peers for this position, and are expected to attend GMEC meetings and participate on internal reviews when possible.
