Postgraduate Administrator, Faculty and Department of Law.
The rapid and unprecedented expansion in postgraduate, programmes particularly research masters and PhDs in the Department and Faculty of Law, has created the necessity for a suitable Postgraduate Administrator. The post holder will have responsibility for all aspects of Law postgraduate activities in order to effectively delivery the postgraduate strategy of the Faculty of Law in terms of programme promotion and development, postgraduate student recruitment, student support, financial management (including administration of scholarship and other funding opportunities).
The post holder will report to the Dean of the Faculty and Head of the Department of
Law and will work closely with the Directors of Taught Postgraduate Programmes and the Director of Graduate Studies in the Department and Faculty of Law as well as with the UCC Graduate Studies and International Education Office. The post holder will be a member of the Postgraduate Recruitment Committee and the Graduate Studies
Committee and will devise and implement the necessary administrative and support structures to deliver the Fourth Level strategy in the Department and Faculty of Law.
Essential Criteria
Candidates should hold a university Degree.
A strong administrative background at senior level in a Department or Faculty.
The post holder will need to be highly motivated and have a proven ability to work on his/her own initiative and as part of a team and the ability to meet tight deadlines in a flexible and rapidly changing work environment.
Academic administrative experience and knowledge of educational sector and in particular the postgraduate sector.
High level competency in a range of IT applications, including MS Office suite and CMS.
Experience of dealing with students in particular postgraduate and international students.
High level organisational and interpersonal skills
Excellent verbal and written communication and presentation skills.
Proven ability to effectively liaise with external organisations, professional accreditation institutions and staff at all levels.
Budgetary management skills including administration of IRCHSS, and other
NGO bursaries for graduate education.
Desirable Criteria
An understanding of the postgraduate programmes in Law.
An appreciation of the legal professional training sector.
Familiarity with UCC Information Systems such as DMIS and PAC
Detailed knowledge and understanding of University procedures and administrative support systems which facilitate graduate education. .
Principal Duties:
To plan, manage and develop policies and initiatives to enhance and support all aspects of postgraduate matters in the Faculty and Department of Law
To be actively involved in determining the strategic direction of the Department and
Faculty of Law in relation to postgraduate matters and to provide advice to the
Department and Faculty in relation to new programmes, overseas recruitment opportunities, demographic changes, market demand etc.
To prepare and present an annual plan to Faculty for postgraduate activities in the
Faculty of Law, including a breakdown of activities, resources, a detailed budget, and be responsible for the implementation of this plan.
To advise the Director of Graduate Studies on strategic issues connected with the development of the research postgraduate programme in relation to funding opportunities and university policy.
To develop and implement strategies for graduate student recruitment including sole attendance at recruitment events, overseeing publication and dissemination of relevant publicity materials, maximizing the use of websites for the marketing and promotion of postgraduate programmes.
To be an active member of the Faculty of Law and the Graduate Studies Committee and the Postgraduate Applications and Recruitment Committee, including active involvement in decision making in relation to admission of postgraduate students.
To be a decision maker with the Chairs of relevant committees in relation to interim/ad hoc/urgent decisions on admission and funding.
To be actively involved in the determination of the allocation of Law Faculty postgraduate scholarships and studentships.
To manage the Law Faculty postgraduate fieldtrip funding scheme including evaluation of applications and distribution of funding.
To allocate the budget set aside for the support of research students.
To devise and implement innovative administrative systems and procedures to support the graduate student experience in the Faculty and Department of Law.
To manage the set up support to incoming research students in relation to UCC facilities, accommodation, immigration issues etc.
To manage Law Faculty postgraduate student orientation and induction including development of strategies on the implementation and enhancement of all aspects of orientation, including liaison with the Graduate Studies Office in relation to University
Orientation
To manage internal and externally funded studentships including applications to
IRCHSS Government of Ireland and NUI Scholarships and Bursaries
To provide specialist advice to the Head of Department, Programme Co-ordinators and Faculty Committees in relation to policies and procedures regarding postgraduate issues and to advise on feasibility practicality and consequence of their deliberations and decision making.
To advise students and respond to detailed and complex queries on postgraduate admission requirements.
To manage the annual review process of Research students.
To prepare annual and interim reports on postgraduate matters and to report same to
Faculty.
To facilitate the ongoing development of the postgraduate law curriculum and to be actively involved in postgraduate programme development, with responsibility for the postgraduate entry to the Calendar and Marks and Standards.
To manage the Law Faculty’s partnership with the Law Society of Ireland’s, including orientation and registration of students, identification of appropriate fusion of programmes, budgetary management and to act as representative of the Faculty with the Society and prepare and present an annual evaluation report to Faculty on the progress of the programme.
To effectively manage and be responsible for the procurement and allocation of space for research students and for their IT needs.
To manage the examination process in relation to research students devising standard operating procedures to facilitate both the needs externs, students and staff
To be actively involved in the determination and development of international partnerships and exchanges relating to postgraduate students and thereafter to manage new links and existing postgraduate exchanges.
To advise the Postgraduate Committees on retention and progression of postgraduate students.
To act as a representative of the Faculty as appropriate within the university and with external agencies/bodies.
