Little robots Big Missions A Competition Motivating Young Minds to Master the Machine Robofest 2009 Regional Qualifying Competition Site Host Organizer Information Robofest is an annual computerized autonomous robotics contest for 5th – 12th grade students. Robofest provides an environment for students to design, construct and program their robots while learning problemsolving techniques, mathematics, logic, creativity, physics, electronics, mechanics, teamwork, computers, and computer programming. Students may compete in various playful ways: Games, Exhibition, Sumo, Fashion Show, VEX Pentathlon, and Mini Urban Challenges, etc. In order to outreach to more students who would like to learn about science, technology, engineering, and mathematics (STEM) through playful autonomous robotics, Lawrence Technological University (LTU) is looking for additional Regional Qualifying Site Hosts for Robofest 2009. Being a site provides great visibility for your school or organization. It is an opportunity for you to showcase your facility, staff, and students. LTU provides Site Hosts with the following, free of charge: Promotion of your organization as an Official Site Host of Robofest 2009 Official posters with your organization name recognized as an official Site Host & Organizer, if site hosting agreement is made by October 31, 2008 Team registration on the Robofest website and team registration information to sites. Your competition site information posted at www.robofest.net along with your organization’s information, logos, links, etc. and even your own local sponsors. Administrator account to help recruit and manage site volunteers, and access team information. Judge training for your volunteers at LTU; also via video conferencing, streaming video, DVD, and/or web animations – we will help you train judges. Check list and floor plan to help you setup your competition site. Recognition from LTU for your organization during your competition opening ceremony Recognition of your competition site on the Official Robofest 2009 DVD Official Robofest banner for you to hang at your site along with general signage such as directional yard signs, event signs, team table signs, etc. Official playing field materials for your competition site, or reimbursement of expenses to purchase field materials for your site. Hard copy or electronic Excel scoring forms for judges and overall competition scoring Winner Trophies (for 25% of the teams registered at your site) Judge T-shirts and Volunteer T-shirts, small gifts for all site volunteers Personalized certificates for every participant registered in the Robofest registration system. Participation medals for all students last updated 7-31-2008 1 Name badges for all registered students, coaches, and volunteers As a Site Host, you and your organization would agree to the following requirements: Each site observes all competition rules as an organizer in order to guarantee the quality of the Robofest 2009 contest. Each site provides a safe and secure environment and adequate space for the on-site competitions to take place. Each site provides judges and volunteers to help run the on-site event. Volunteer responsibilities would include setting-up playing fields, checking-in teams, proctoring, time keeping, competition judging, tabulating judging results, presenting awards to winners, clean-up, etc. For the opening ceremony, Hosting Site will provide representatives to receive LTU recognition award of appreciation for serving as the site host and organizer. After the event, the host organizer provides Robofest headquarters with a report with all of the winners, including those who advance to the World Robofest Championships on Saturday, May 2, 2009 on the campus of Lawrence Technological University, Southfield, Michigan, USA. The number of qualified teams to advance will be decided by Robofest headquarters and it will be provided to hosts in advance of their competition date. Each site prepares an on-site program flyer that recognizes LTU as the overall Robofest organizer and sponsor of the Robofest 2009 Competition Qualifying Site Host Letter of Agreement If you are a new site host, LTU Robofest officials will contact you to make a site visit, where possible (only after receiving your Site Hosting application form). LTU will also discuss with you in further detail about regional site hosting. After site approval, an official letter of agreement will be drawn up by LTU and signed between both LTU and the qualifying hosting site. LTU will make an official announcement of your site hosting after the signing of the letter of agreement.
