Booking Regulations and Conditions of Hire.
1. Any group or individual wishing to hire the facility must complete an “application for hire” form
detailing contact name, address, telephone number and e-mail address of the nominated team coordinator(s)
2. All hire periods will be in multiples of one hour, starting and finishing on the hour.
3. The hire form must be completed and returned to the Booking Agent in advance of booking.
Invoices need to be paid in full before any booking commences.
4. Block bookings should be paid 4 weeks in advance. Cancellation of these bookings must be put in
writing or by e-mail at least 1 week prior to the commencement of the booking and sent to the
Booking Agent. Failure to provide notice will result in the Hirer paying the full hire charge.
5. Any groups or individuals failing to pay their invoice by the required deadline will not be permitted to
use the facility.
6. The booking time includes time allocated to setting up and taking down the activity. This time will be
charged to the hirer and players must exit the area immediately after use to allow the next activity to
start on time.
7. The person who signs this agreement is responsible for the security of the facility until they leave.
Upon leaving they must secure the facility or hand-over to the next user. Before handing over, they
must check that the person to whom responsibility is passed has a gate key. The fact that the
person has a key is sufficient verification.
8. Any persons without a key should be asked to leave. Under no circumstances should a hirer put
themselves at risk by entering into an argument but should report any altercations to the Booking
Agent immediately.
9. Branston & Mere Parish Council wish to encourage young people to use the Astro Court as much
as possible however, no keys will be issued to people under the age of 18.
10. At no time may a person play sport when they are alone. There must be at least one other person
present during play or practice.
11. The Parish Council has primary responsibility for the safety of the Astro Court but those using the
court must take all reasonable steps to ensure their own safety.
12. If an accident or near accident occurs, the primary responsibility of those present should be the
needs of those injured. The Hirer should ensure that a mobile phone is available in case of
emergency. The Booking Agent should be notified of all accidents and near accidents.
13. The Council reserves the right to close the facility, if in the opinion of the Council, the facility is unfit
for use, e.g. bad weather or unforeseen circumstances. In the event of this happening, the Council
will credit the booking. Credits are not given to clubs cancelling their own bookings.
14. Users should vacate the facility during bad weather; particularly during thunderstorms.
15. The sub-letting of the facility is not permitted. No alcohol or glass bottles shall be brought into the
courts. No smoking is allowed in the courts. No equipment is available such as balls, soccer nets
and rackets.
16. Floodlights are operated by tokens which will be issued by the Booking Agent.
17. All individuals using Council facilities must behave in a seemly manner and conform to any
regulations in force with respect to the site and comply with any instructions they may receive from
the staff appointed by the Council. The area should be kept clean and tidy and free of rubbish.
18. The Astro Court is positioned in a residential area. We therefore ask you to respect our neighbours
and keep the noise levels down to a minimum, avoiding unnecessary shouting, foul and abusive
language.
19. The Club or Hirer will be responsible for any damage caused to the pitch, equipment, fencing or any
of the Council’s property, by their own members or by the members of the club against whom they
are playing.
20. Hirers should check that the court is undamaged and safe for play on their arrival. If any damage is
observed the Booking Agent should be notified.
21. Trainers should be worn. On no account should spikes, metal studs or blades be worn inside the
court. Anyone caught wearing incorrect footwear could receive a ban from the facility.
22. Opening and closing times are displayed at the entrance of the facility. All persons must vacate the
site by the closing time. No cars shall be left on site after closing. Do not leave cans of drink or fruit
peel, etc. on the playing surface/area. Litter bins are provided around the site.
23. Strictly no pets on the site at any time.
24. All organisations wishing to book the facility for matches or practice sessions are required where
reasonably possible to provide their own first aid equipment and qualified first aider.
