Important issues that an SSA should take care before launching the CDR project
(besides the points already listed and clarified in data migration guidelines issued by
CGM ITPC)
1. Training – training to all CRM users – CSR users, commercial officers, AO/JAO,
clerks in accounts sections who were earlier working on TRA related modules of
Dotsoft/trichur;
2. Training on Clarity to all outdoor, indoor, MDF
3. Training on PMS to all payment counter staff and AO cash
4. Training on reports to all right from JTOs to GM/PGM
Capture of inventory
a) Master data of exchange code, locality sub-locality, pillar, JTO and lineman
b) Mapping of exchange code to sub-locality to a pillar to a JTO is a must.
c) For every telephone number pl get the NE, MDF vertical and Pillar no.
(Pillar tag block and DP details are not mandatory; but are desirable)
d) The above data is available in Dotsoft. This data can be corrected if necessary
before migration.
e) Pull the data of (a) and (b) from Dotsoft first; get it validated JTO wise in the
SSA; Update it for any missing pillars, missing sub-locality and missing JTO
mapping.
f) A sample of the data checks you should do (i) Total no. of Localities
(ii) Toatl no. of Exchanges NOT Mapped to Localities
(iii) Total no. of JTO_CODES NOT mapped to Locality
(iv) No. of exchanges mapped to Localities but JTO_CODE of these Exchanges
not mapped to localities
(v) Pillar not mapped to jto_code
(vi) No. of pillars where Pillar capacity is NULL
g) Default capacities (if data not found) can be taken as a.

User information
Capture the details of end users of CRM, PMS, Calrity. Their names, HR Staff no.,
designation. The staff no. is very important. That is going to be the login for all users
of CDR.
PC/Printer readiness
Ensure PCs are ready with 512 MB RAM (1 GB preferred) with windows XP or
Vista; Proper Java version is available. Network is ready preferably with 2 MB links.
Dotmatrix printers must be tested with ER reports and PMS receipts.
The pre-printed receipts must be the same as what is used in Hyderabad.
SSA MUST have a core group. The existing computer/Dotsoft group can form the
core group. It must have SDE/JTO who will take care of CRM, Clarity and PMS
software issues – end user point of view – especially training point of view.
There must be atleast one SDE/JTO who takes care of network.
The core group must also have accounts officer to care of CRM and PMS – accounts
related issues – especially training related issues.
This core group must be able to guide the entire SSA end users during day-to-day
operations.
Note : Without core group and TRAINING, no SSA can launch the CDR
project.
As far as accounts is concerned one most important issue that an SSA should
know is –
The migration is from invoice based to accounts based system.
All outstanding invoices will be migrated as opening balance against customer
account.
All payments will be made against account number and not invoices. BUT payments
will be adjusted against the oldest invoice pending within the system.
Disconnections will happen based on total outstandings against a billing account.
Disconnections and reconnections are automatic.
Deposits will be migrated as-is. So thorough check of outstandings and deposits is a
MUST.
Account settlement is automatic and once it is done it is irreversible process. So
deposits transferred against accounts must be correct. A certificate to this effect must
be taken from AO TR.
