VP Academic - Chicago the Musical is happening, you should all go! b. Computer Science is looking to join the AUS! A motion needs to be passed to amend the constitution. c. Speaker – Can the PSSA draft the motion to add a seat? d. VP Academic – Can I motion to suspend the rules and add this to the agenda? e. President – We can just do this next council. 5. New Business a. Motion to hold a General Election i. President – These are the electoral bylaws for the year, we’ve already gone through a round of revisions, it’s the dates for the electoral calendar. ii. CSA - There are some moments of inconsistency for my department, is there something that elections have to be done online? iii. President - You can opt out if you want to and do your own election. iv. Speaker – All in favour of motion? All opposed? All abstaining? Motion passes unanimously. 6. Reports of the Executive Officers a. Report of the President i. Status of the VP Internal hiring – I’ve had some interviews already for an internal administrator. We also only have rooms within Leacock and Arts, and I’ve had issues with this as well; prof talk is now happening in ECOLE. So, I’m meeting with some people to talk about this, I’ll probably have a meeting with McGill and see why the administrator didn’t come to McGill until the end of add/drop, so this is McGill’s fault. SSMU is also booked and currently not cooperating with AUS on this issue. Both situations are out our control, but we’re hoping to get a new system in place. I’m also trying to create an online form so we can see what’s available but we’re waiting on the administration to clear the backlog. ii. Leila is on the liquor permits, and it’s important to get them in so we can fulfill at least three liquor permits a week. That’s taking a lot of time, as is work your b.a. iii. We had an event for work your b.a. yesterday, and it was really helpful. We have a UN speaker coming from New York HR, and we’re doing a gap year event and a law school event and a grad school event. It’s all online, so help us promote it. iv. I’m meeting people this week regarding the space project but I’ll have v. Revision of the dean’s fee referendum question; it can’t be a pro-credit fee so we’re going to propose a full-time/part-time student fee. vi. The application for the room bookings and liquor permits is closing tonight. vii. DESA – what should we do for the future for room bookings? Should we send them to you? viii. President – If you need to submit something in the next week, I don’t know when Janet will get back to me because she missed two weeks of her own time. The administrator isn’t responding to our emails, either. By next council, I’ll provide a much clearer picture of what’s happening on their and our end. The one email has multiple administrators. ix. If you are hoping to hold film screenings or something of this sort, we do have a room – it’s really beautiful. We’re trying to use that room as much as possible because it’s booked through the English department. We do need about two weeks, but it just requires a deposit and a form outside the store. That theatre has booking privilege through AUS and gets to use it for free because it was renovated with AUIF funds. x. BASIC – I’m leaving for SUS. b. Report of the VP Finance i. AUIF’s application is on the AUS website; I also need people to sit on it, so please email me if you or your department is interested. ii. For the budget, I first need to meet with the VP Social. iii. If you submitted an FMC application, we didn’t have quorum but we’re going to try to coordinate that. iv. Allocations should be ready by Monday. v. We did an internal audit, and we’ll put that information in your internal folder and if we don’t hear from you we’ll figure that there are no disputes. vi. I’ll be out of the country from tomorrow to Monday, so it’s too late for check reqs after 10:30 tomorrow and I won’t be responding to emails. vii. We did get the file from the ex-auditor but the quickbooks are not the same, so now we need to buy another copy of quickbooks and try to transfer things on our end, but we can start writing check already. viii. CSA – FMC is trying to meet before Monday, have you picked specific dates for the meetings happening after that? Report of the VP Academic i. Not much has changed from last week; changes to the McGill bookstore are occurring as they reevaluate the functions of it. The gross cash flow isn’t great because they’re not making that much of a profit. I attended a focus group and they’re looking for feedback on what you would like them to sell, and etc. The feedback will be used to decide how to move forward. ii. The peer to peer symposium is happening. iii. We’re working on a database for arts undergraduate research through caps. iv. Actually, the reimbursement is ten dollars an hour for professors on work study, so that’s the same rate that the AUS is getting, so we’re looking to promote that to profs if they’re work-study eligible. If you apply to them to be a work study, let them know because they’re not paying you entirely out of their grants. v. The deadline for peer tutoring is Monday, January 26th. vi. I’m releasing the Arts Student Employment Fund tomorrow for the summer. vii. I’m meeting with Mcgill about our MAO next Wednesday. d. Report of the VP Communications i. You’re all probably just getting the list-serv for me right now, we were waiting on the prof talk confirmation. We didn’t have a room booked until about an hour ago, and our graphic designer for the cover photo has not gotten back to me. Check out the facebook event tomorrow. ii. Know your fees is changing from two days to three days; I’m giving a videoediting tutorial, and there’s going to be a French BDA. That’s it for the most part. e. Report of the VP Social i. Not much to report this week, we’re having a Chicago-themed BDA until the red carpet premiere begins. ii. We have a new list of food items departments can sell at BDA through SNAX, like cookies. There’s a link on the BDA page to apply for a date that you want. f. Report of the VP External i. The committees I’m working with are FEARC and AUSEC. ii. ACE – haven’t set a meeting time yet, but most efforts will be towards embrace volunteer week. iii. In terms of the careers portfolio, we’re doing speed lectures, but that’s happening after work your b.a. The event is up for work your b.a., and planning for the Ottawa networking trip is underway. iv. I’m meeting with ECOLE next week. v. I’m also meeting with the national speakers bureau to see who the AUS can bring in. vi. Lastly, I talked to the Concordia VP External and they want to organize a scavenger hunt with McGill. g. Report of the Arts Representatives to SSMU i. The motion regarding interim Provisions in respect to the nominating committee and the online Ratification of GA resolutions passed, and the nominating committee will be made up with 4 councillors and 4 members-at large. ii. The winter GA will be postponed until March. iii. We met with Cindy from CAPS for the Diverse AUS event, the facebook event has made and it will be happening on the 27th. Everything else is status quo. h. Report of the Arts Senators i. Speaker – They’re not here to present it, so just have a look at that online, please! 7. Reports of the Departmental Associations 8. Committee Reports (AUSEC, FEARC, FMC, Equity) a. EQUITY i. We met with other EQUITY committees and discussed how to make EQUITY more accessible and how to overcome the more negative stereotypes surrounding EQUITY. ii. Vareesha and I want to have workshops deconstructing some EQUITY topics to make them more accessible to people. iii. We’re starting an EQUITY blog soon and getting other on campus EQUITY committees to help us out. We also want to make some social media projects to make these things more accessible and less academically appealing. iv. We’re going to be training our EQUITY committee. v. We’re also working with the sexual assault working groups, so please reach out to them if you’d like to know more. vi. We’re excited to work on the frosh by-laws with our new VP Social. 9.
