RECRUITMENT OF HEADS OF DEPARTMENT or SCHOOL/SUBJECT AREA*/ASSOCIATE DEANS (* Subject Area is a unit of organisation working in Portsmouth Business School only.) Introduction Appointments to the posts of Head of Subject Area/Department/School and Associate Dean, will be for a fixed term period of 5 years and filled by secondment from a permanent contract in another capacity within the University constitutes a policy. The posts may be renewable. A Staff Approval form is not required for recruitment to these posts. Information about expiry of appointment and Expressions of Interest All current post holders are on 5-year appointments. As such, about three months before the expiry of the appointment, the Dean will email all staff in the department/subject area/faculty (as appropriate to the position). The email will state: “An opportunity has arisen for appropriately qualified staff to express an interest in the post of <Head of …/Associate Dean …>. <Name of the current incumbent> has indicated his/her willingness to be considered for a renewal of his/her tenure as <Head of ../Associate Dean …>, but this should not be seen as a barrier preventing other staff from declaring an interest in the post. If we receive more than one expression of interest, a full selection process will be instigated, but if the only expression of interest is from the current post holder, there will be a more streamlined process. I am writing to advise all <department/faculty (as appropriate to the position)> staff of this opportunity and to request expressions of interest, which should be sent to me by <time deadline> on <date deadline>. If necessary, the post will be advertised in the normal way, inviting potential candidates to submit full applications. If you wish to discuss this process or the post with me, then please contact <name of contact> to make an appointment, or contact me by telephone or email.” Current incumbent only interested If the only interested party is the incumbent postholder, then a meeting will take place between the Dean, the Vice-Chancellor or Deputy Vice-Chancellor and the postholder to discuss the extension of the secondment for a further 5 years in the form of a development conversation. The appointment will then be confirmed by Human Resources upon authorisation from the Vice-Chancellor. Selection process where more than one expression of interest If more than one member of staff indicates their interest in applying for the position (regardless of whether this includes the current postholder or not), a recruitment process will be put into place. HR 12022013 An advertisement by email will be sent to all staff within the Faculty. The email should state: “(Faculty of ... employees only) JOB TITLE Fixed term contract for 5 years Salary: Reference: Closing date: The Faculty are seeking to appoint a <Head of …/Associate Dean …>. However, if the position is to be advertised only in a particular department or faculty, make it clear on the online recruitment form that the vacancy should be viewed ‘via the hidden link for department/faculty x’. This will ensure that the vacancy is only made available to that department or faculty only. All other details about the recruitment and selection process should be completed on the form as usual. Shortlisting process Shortlisting will be undertaken by the Dean and the member of VCE who will chair the interview selection panel. Any employee who is not shortlisted will receive feedback from the Dean of Faculty. If the only person who is shortlisted is the current incumbent, the process then followed will be the development conversation between the Dean, the Vice-Chancellor or Deputy Vice-Chancellor and the postholder. HR 12022013 Selection process If more than one person is shortlisted for the position, then all shortlisted applicants will be required to undertake an interview selection process and will also be required to give a presentation on a topic as agreed by the Dean.
