HY-TEK LTD 6502 Micro Dr. Dayton, MD 21036 410.531.5111 410.531.2605 FAX FIREARMS MANAGER Pro– What is it and why do I need it? FIREARMS MANAGER Pro is a computer program written for managing the firearms requirements of any organization. Current Customer organizations range in size from small Sheriff’s Departments to large City Police Departments and are diverse in nature including small shopping mall security companies, local government Police Departments, federal agencies and military Special Forces. FIREARMS MANAGER Pro manages eight (8) weapons program management concepts: ROSTER (PERSONNEL) FIREARMS INVENTORY (STATIC & DYNAMIC) FIREARMS (INSPECTIONS & MAINTENANCE) EQUIPMENT (NON-WEAPONS) INVENTORY (STATIC & DYNAMIC) EQUIPMENT (NON-WEAPONS) INVENTORY (INSPECTIONS & MAINTENANCE) QUALIFICATIONS ON COURSES OF FIRE (UNLIMITED COURSE TITLES) IN-SERVICE TRAINING (UNLIMITED COURSE TITLES) AMMUNITION INVENTORY (STATIC & DYNAMIC) ROSTER (PERSONNEL) All organizations need to track personnel information. The ROSTER section of FIREARMS MANAGER is the core element of the program since firearms, qualifications, training and ammunition all revolve around the personnel. Organizational information relating to any officer/agent is readily available from a scrolling pick list while more detailed information about that person is available at the touch of a key. FIREARMS MANAGER Pro also provides a tabbed section at the bottom of the screen for each person allowing instant viewing of their issued firearms, any awards they have received and what qualifications and training they have taken – all on the same screen for easy access. Personnel information can be sorted and selected by Last Name, Employee Number, Office, Group, etc. FIREARMS & EQUIPMENT INVENTORY (STATIC & DYNAMIC) Since firearms and equipment are major concerns for a weapons management program, the firearms and equipment inventory sections have several levels of detail, specifically: Static Inventory This section allows the user to determine where the weapon or equipment is at any moment in time. Is the item in stock and, if so, at which stocking location? If the item has been issued to an officer or agent, FIREARMS MANAGER Pro will list the person’s name and indicate when it was issued. If the item has been received for repair, FIREARMS MANAGER Pro will show when it was received, where it is located, what needs to be done for repair and even if it has been shipped out for repair and when. Dynamic Inventory This section allows the user to obtain a complete chronological transfer history of where the item has been since it’s been included in the program. Simply select the item by its serial number and a screen listing and paper print out will be provided for review. Transfer Management This section allows the user to quickly issue firearms and equipment from any stocking location or receive items back from an individual to be placed into stock or designated for repair. Receipt and Issue paperwork is generated automatically with the ability to add specific notes for any associated items that may be included with the item as part of the transfer. Repair Management In addition to the ability to track weapons and equipment inventory several different ways, FIREARMS MANAGER Pro includes the ability to maintain an unlimited number of stocking locations. This allows the user to maintain separate inventories for different physical locations such as barracks, special event vehicles, field locations or various repair/repair-pending locations. Establishing a stocking location called ‘Repair - General’ allows the user to receive items from individuals directly into a repair pending status along with notes indicating what repairs are needed. By also establishing special repair stocking locations such as ‘Repair – GLOCK Factory’, ‘Repair – Otto’s Gun Shop, ‘Repair – In House’ and others, users can track where and when items were shipped out for repair and what repair work was performed. When the items are received back, they can then be transferred back into the normal stocking location for re-issue. Inspections FIREARMS MANAGER Pro includes the feature to inspect weapons and equipment items at any time for any reason. If an item requires attention, that fact is easily recorded. The maintenance log will show the needed attention so the user can take the necessary action. QUALIFICATIONS ON COURSES OF FIRE and IN-SERVICE TRAINING Keeping track of qualifications of personnel on various Courses of Fire for various type weapons as well as the non-weapons training courses they have taken along with their scores can quickly get to be an overwhelming task using a manual system. FIREARMS MANAGER Pro automates and simplifies this data collection process by allowing the user to select a specific person from an alphabetized list of names or Employee Numbers and enter their course and score with notes. A simple Pass or Fail score is also allowed. Checking a particular person’s qualifications is as easy as typing the first few characters of a person’s last name and viewing their entire qualifications and training history on the screen. Entering new and different Courses of Fire and training courses into FIREARMS MANAGER Pro is also easy. When you add a new Course of Fire or Training Course to FIREARMS MANAGER Pro’s Pick List system, FIREARMS MANAGER Pro prompts you to enter the name of the course, a description, the maximum score attainable for the course and, if a Course of Fire, the number of rounds required. By entering only the courses your organization uses, you are able to customize FIREARMS MANAGER Pro to your specific weapons training program. If you need more detail for the Course of Fire, it’s available. FIREARMS MANAGER Pro can track a description of the course, the name of the Range Officer, the names of the Instructors, the duration of validity of the qualification, the location where the course was administered, the day, start time and duration of the course, a description of the weather, the type of rig used and clothes worn, the type of targets used and even the lot number of the ammunition used. Of course not everyone will need this level of detail, but it’s there if you need it. While ease of entry is important, ease of access is critical. Determining who needs to qualify on a particular required qualification or training course or who is currently qualified for a particular type of weapon is as easy as selecting a person from a pick list and viewing on-screen or printing a paper report.. Using the special report generation screen, you can customize a report for your specific need. The number of reports are too many to list since you actually develop the specific report you want on-the-fly simply by selecting what you want to see. SCHEDULING Scheduling personnel for a Course of Fire or a Training Course is another task that can become overwhelming. FIREARMS MANAGER Pro also helps with this task. You simply select the person or persons and associate them with a specific course at a particular location, date and time. You’re done! You can then print out a roster for each course and post it for review. AMMUNITION The ammunition section allows the user to track ammunition in stock as well as any ammunition that has been issued and to whom. While most organizations have not yet elected to track the issuance of ammunition to personnel, this may become a requirement in the future as a result of the current trend in the legislative environment. Actually, those organizations who have elected to track the issuance of ammunition are finding it useful in determining where defective ammunition resides in the field. In fact, tracking ammunition by lot numbers on qualification Courses of Fire has saved money and possibly lives by identifying defective ammunition by lot number even before the manufacturer notifies customers of the defect. Not only can you determine if you have received a bad lot of ammunition, you can also determine how many rounds you have received and who it was issued to, and allow you to quickly recall it. REPORTS Reports are always the determining factor as to how well a software product is received in the industry. For this reason, FIREARMS MANAGER Pro was designed with a special report-builder screen which allows the user to actually ‘build’ the specific report they need on-the-fly. Along the left side of each report builder screen are the available base topics to build your report. For example firearms reports would have topics such as Make/Model, Type, Assigned To, Location, etc. You can select “ALL” or one of these topics like Make-Model which will present a list of available MakeModels to choose from. One or several Make/Models can be selected to be part of the report. Once the base topic is selected, the bottom section of the screen then allows the user to sort the report by a number of different sorting methods. For example, the Make-Models can then be sorted by Serial Number, Type, Assigned To, Location or any of several other choices. Rather than providing a limited number and type of reports for each section, the report builder screen allows you to build the exact report you need - when you need it. By allowing you to select a base topic then apply a date range and a ‘sort by’ element, FIREARMS MANAGER Pro allows you to build an almost endless number of reports based on your specific needs of the moment. Reports are critical and FIREARMS MANAGER Pro provides an almost endless variation of reports for the user’s needs. CONCLUSION FIREARMS MANAGER Pro is currently the only professional weapons management software package in the world that tracks personnel, firearms & equipment inventory (both static and dynamic), firearm or equipment transfer history, qualifications for any Course of Fire, training for any defined course, ammunition receipt and distribution down to lot number, scheduling of qualifications and training courses, weapons and equipment repair management and administrative control of user access - all in one integrated product. FIREARMS MANAGER Pro can be deployed for any size organization from the small local Sheriff’s Departments to the large City Police Departments. FIREARMS MANAGER Pro can also be used by a wide variety of organizations from private security agencies to major federal agencies to military Special Forces groups. Regardless of your specific type of weapons management and training requirements, FIREARMS MANAGER Pro is ready to fill the needs of your organization. Complete network installation instructions are available as a free download by visiting the HY-TEK web site or requesting a copy directly from the HY-TEK office. While you might expect that only the larger law enforcement organizations would benefit from a product like FIREARMS MANAGER Pro, it actually benefits all types and sizes of organizations for various reasons. The smaller organizations benefit due to their lack of resources to keep track of the details of a weapons management program. Just the qualifications record-keeping alone places a tremendous burden on a small organization, especially if a shooting incident should occur. The need to quickly retrieve firearm and qualification information under such conditions places demands on personnel resources that smaller organizations simply do not have. Of course, the larger organizations benefit from using FIREARMS MANAGER Pro simply through the shear numbers of personnel, inventory, qualifications, training and ammunition use. If you’re responsible for your organization’s weapons management and training program or any aspect of it, FIREARMS MANAGER Pro can help make your job easier, faster and more accurate. At $695.00 (Non-Network) and $995.00 (Network), FIREARMS MANAGER Pro is affordable by all law enforcement, federal, state, local, and military organizations typically on the authority of the local supervisor.
