ADMINISTRATIVE CIRCULAR BALI DEMOCRACY FORUM III Bali, Indonesia 9-10 December 2010 As of 9-Nov-10 3:10 AM THE FORUM Date and venue Bali Democracy Forum will be held on 9 - 10 December 2010 at the Westin Resort Nusa Dua, Bali, Indonesia (http://www.westin.com/bali). Heads of State/Government Participation All Heads of State/Government participating in the Forum are kindly invited to attend the Opening Session, General Debate Session and Luncheon hosted by the President of the Republic of Indonesia on 9 December 2010. Working language The Meeting will be conducted in English. Liaison Officers A liaison-officer (LO) will be provided for each Head of State/Government and each Minister, who is the Head of delegation, from the participating country’s capital. Other delegations will be assigned a collective non-attached liaison-officer. Attire First day Leaders’ Session and General Debate Dinner : National-dress / Lounge-suit : National-dress / Batik / Smart-casual Second day Interactive-Sessions : Batik / Smart-casual Security Delegates are requested to wear their conference identification badges at all times, to ensure problem-free admittance to the meeting venue. Delegates may be kindly requested to pass through security gates, and participate in security checks at the hotel. PREPARATION Registration All delegates are kindly requested to fill out and send the Delegates Application Form and other relevant communications by Friday, 12 November 2010, to the Bali Democracy Forum Organizing Committee. Application forms may be downloaded from the website of the Ministry of Foreign Affairs of the Republic of Indonesia: http://www.deplu.go.id All delegates are also requested to send a digital passport photo for the purpose of an identification card, by e-mail to bdf3committee@gmail.com. Travel Arrangements All delegates are requested to make their own travel arrangements at their own expense. HOSPITALITIES Hotel Accommodation (Room only) The Government of Indonesia will provide complimentary accommodation at the Westin Resort Nusa Dua, check-in on 8 December 2010 and check-out on 11 December 2010, for the following: Countries with Head of State/Government attending the Forum will be provided complimentary accommodation for the Head of State/Government plus two rooms. Countries with head of delegation at the Ministerial-level will be provided complimentary accommodation for the head of delegation plus one room. Countries with head of delegation at a non-Ministerial-level will be provided complimentary accommodation for the head of delegation only. Ground Transportation Courtesy ground transportation in Bali will be offered for Heads of State/Government, Ministers, and Heads of Delegation for the duration of the Forum. GENERAL INFORMATION To and from the airport A welcome counter will be located at the airport to welcome and direct BDF delegates to the shuttles provided for the Westin Resort Nusa Dua on 8 December 2010, and from the Westin Resort Nusa Dua to the airport on 11 December 2010. All delegates are kindly asked to send their travel itineraries prior to arrival in order to facilitate transport to and from the airport. Delegates staying in hotels other than the Westin Resort Nusa Dua are also requested to inform the committee in advance if they need local transportation assistance. Facilities Office equipments and internet facilities are located at the hotel business centre. Wireless internet facilities are also available in the hotel. Delegates are responsible for all costs they incur at the business centre. Currency exchange Indonesia’s national currency is the Rupiah. The exchange rate normally fluctuates between IDR 8500 and IDR 9100 to 1 USD. Medical services The Secretariat will be able to provide medication for minor illness. Any major treatment will be carried out at the local hospital, where a 24-hour medical service will be available and a general practitioner will be on stand-by. Delegates will be responsible for the costs incurred of any hospital treatment, and should therefore ensure that they have appropriate insurance coverage prior to traveling.
