PRESIDENT’S FELLOW (UP TO 30 HOURS/WEEK) President’s Office Occidental College OVERVIEW: The President’s Fellow will be a superb recent Occidental graduate who will spend a year working (second year negotiable) at the College in a variety of functions, especially College Events. The Fellow will be selected by the President, based on recommendations from senior staff and/or faculty, and will report to the President. The position will expose our graduate to the challenges of a complex organization in particular, and higher education in general. At the conclusion of the assignment, the Fellow will produce a brief end-of-year report outlining projects worked on, status and/or next steps for each project, and the reflections on what was learned by the overall experience. The Fellow will work on a variety of tasks and projects as needed. RESPONSIBILITIES FOR THE PRESIDENT’S OFFICE & COLLEGE EVENTS: Support the Chief of Staff as needed for trustee related events. Support the President’s Assistant as needed. Manage various operations and college-related events and activities as assigned. Plan, manage and staff various non-Institutional Advancement events held on and off campus. Oversee the invitation process for each assigned event. Including, but not limited to, the design, printing, and mailing of invitations. Work closely with appropriate department(s) in compiling invitation lists. Plan, coordinate and oversee all aspects of each assigned event and/or activity including, but not limited to, scouting and choosing venues, coordinating rentals, arranging special guest travel, planning menus, seating arrangements, place cards, flowers, music, linens, rain plans, etc. Tracks event reservations, selects on and off campus vendors, caterers, florists, and entertainers. Supervise set-up, execution, and clean-up of each assigned event and/or activity to ensure a smooth event. Run post-mortem meetings with the Director of College Events for each executed event. Work closely with the President’s Office staff to coordinate presidential and campus-wide events including, but not limited to, Commencement, Convocation, Founders Day, 100th planning support, Faculty, Student, or Staff events, and faculty organized speakers/lectures as assigned. In preparation for Commencement/Convocation events, e.g. ordering trustee gowns, processing matriculation certificates, and works at campus-wide events such as Commencement/Convocation as needed. Manage the process of sending President’s Office Holiday Cards (selection of holiday card, design, compilation of various address lists) with the assistance of President’s Office staff and in collaboration with the Director of College Events.
