USER MANUAL Limited English Proficiency (LEP) Student Enrollment/ System 2009-2010 DATA ENTRY INSTRUCTIONS IMPORTANT: All districts must submit data, even if the number is zero. All data entered must be based on the LEP students enrolled on October 15, 2009. The data must agree with the LEP enrollment reported as part of the ASSA count. All districts must report data for: Three and four-year old LEP preschool students. LEP special education students K-12 (this is reported in the section for LEP Special Education) LEP Students K-12 LEP STUDENT ENROLLMENT: 1. The LEP Student Enrollment Tracking System can http://homeroom.state.nj.us. It is listed under “LEP.” 2. Click on “LEP.” 3. Enter the four-digit district I.D., your user I.D. and password. 4. The Main Menu contains five sections: LEP Student Enrollment LEP Special Education LEP Enrollment Report by Grade LEP Enrollment Report by Language Finalize the System 5. LEP Student Enrollment Select Enter Data be accessed at Districts that have no (zero) LEP Students Enrolled: If your district enrolled no (zero) students in 2009-10 in all three sections: the Native Language Other than English Count, Limited English Proficient Count and the LEP Special Education count, proceed to Finalize Data on the Welcome Page Districts that have LEP Students Enrolled: You will be directed to the data entry page for language enrollment. A language list which represents all the languages that were reported by your district in the 2008-2009 data collection will appear. Select each language for which you have students to report by clicking on each language and enter student enrollment as follows: In the LEP Count Total column, enter the number of students that are limited English proficient (LEP), (excluding special education students). P3 refers to threeyear olds enrolled in preschool in your district; P4 to four-year olds. In the Native (Nat) Count total column, enter the total number of students in the district by grade with a native language other than English spoken at home (including special education students). P3 refers to three-year olds enrolled in preschool in your district; P4 to four-year olds. The number of students entered in the Native Language Count Total column must include the students reported in the LEP Student Count column. Select Update This Account when finished with each language. The same screen will continue to appear. You must select Language Page after each entry in order for your data to be saved. Continue to enter data for all of the languages represented in your district.. To report students who speak any languages other than those that already appear on the list, select Add a Language at the bottom of the page, then select the new language and enter data as indicated above. If the language does not appear on the drop-down menu of languages, consult the “Nations of the World and Their Languages” country/language reference document on the Main Menu. Find the country that the child is from and choose from the languages listed for that country. If the language does not appear in country/language reference document, e-mail the Office of Student Achievement and Accountability at LEP@doe.state.nj.us. Repeat this process until the data is entered for all the languages represented in your district. Select Language Page to continue with the data collection. Select Back to Welcome Page when you have finished entering the LEP enrollment for each language. 6. LEP Special Education. Select Enter Data to submit data for LEP special education students. Enter the total number of LEP special education students (K-12) in your district. Select Update This Account Select Back to Welcome Page.. 7. LEP Enrollment by Grade. Select View Data and you will be taken to a district summary page which lists the total number of students by grade that was entered for the LEP Student Enrollment. You can print this page; it is the hard copy of the data entered. 8. LEP Enrollment by Language. Select View Data and you will be taken to a language summary page. Select View to see the summary of data entered for individual languages. You can print any language summary page; it is the hard copy of data entered. 9. FINALIZE Finalize Data. When all the school district data has been entered and after you have reviewed the district reports, you need to transmit or “Finalize” the data. If you do not do so, the New Jersey Department of Education will not receive the data. Return to the Main Menu. Select Finalize and, after reading the message about finalizing data, select Finalize again to transmit the data to the Department of Education. Exit to Homeroom.
