BUSINESS CASE FOR AWARD OF ADDITIONAL INCREMENTS
The University’s annual merit award scheme for support staff and academic-related staff is
currently suspended. Additional increments may therefore only be made (a) on grounds of
retention, or (b) highly exceptionally, to recognise additional duties taken on by staff (either
temporarily or on an on-going basis) which do not warrant regrading.
This form should be used by managers wishing to submit a business case for the payment of
additional increments. You should clearly state the number of increments you are requesting. In
retention cases, relevant evidence of this should accompany this form. For all other cases, e.g.
where additional duties have been undertaken on a permanent or temporary basis, the
submission should include a clear rationale to support the need for the work to be carried out.
Where an individual is acting up to a higher grade on a temporary basis it is expected that the
cost of this is met by the vacant post.
Please complete all sections of this form and return it to your UAS Personnel Manager for
consideration by the Registrar. The form must be signed by the head of department. Each case
will be considered in line with the Personnel Committee's guidelines and criteria.
If you would like to discuss this case before submission, please contact your UAS Personnel
Manager. You will be notified of the outcome by the UAS Personnel Team who will provide details
on implementation.

BUSINESS CASE FOR RETENTION PAYMENT

Please state how this individual meets the criteria for the payment as set out
below, and how this would be funded.
In the case of retention:
(i) that the individual concerned has unique experience or possesses very specialised
skills and that fulfilment of the department's strategic plan could not be guaranteed
without retention of these skills or that experience,
(ii) that the individual concerned holds a post in a group or type where there have been
demonstrable problems of recruitment or retention, which are expected to continue for
some time (i.e. characterised by a high turnover of staff, poor response to more than one
advertisement, or a vacancy of over two months); and
(iii) that there is a real prospect that an individual who is being considered for a retention
payment is actually likely to leave the University. There should be clear evidence that,
unless a payment is made, an employee is likely to leave. The offer of a job interview
elsewhere would provide such evidence but departments are not precluded from
considering equally convincing evidence arising from other earlier stages of external
selection procedures.
In the case of additional responsibilities:
(i) that there is a demonstrable need for the additional work to be carried out on a
temporary/permanent basis due to a change in operational structure and/or
requirements.
Or in the case of acting up
(ii) that there is a demonstrable need for work to be carried out by an individual on a
temporary basis at a higher grade due to a change in operational structure and/or
requirements and the cost can be set against the vacated post.
