Thank you for assisting the Arts and Education Council in our 2014 Annual Campaign by coordinating the collection of pledge cards and contributions. Here are a few simple instructions to help you in collecting contributions:
▪ Make sure all pledge cards are properly completed and signed; if our accounting department is unable to read a pledge card or has questions about an employee’s gift, they will contact you with directly with questions.
▪ List contributions on an Arts and Education Council Tally Sheet as soon as they are collected. The 2014 Tally
Sheet is available as a Microsoft Word document or Excel spreadsheet. Please e-mail or fax this form to your
Council representative each week during your campaign.
▪ Mail pledge cards and checks on a weekly basis in the pre-addressed envelopes provided in your campaign kit
(Arts and Education Council, 3547 Olive Street, St. Louis, MO 63103).
▪ DO NOT MAIL CASH. Please contact your Council representative to arrange a pickup of contributions and cash.
▪ For payroll deduction contributions, send the top copy of the pledge cards to your payroll department representative. Give the donor the second copy for his or her records. Mail the bottom copy of the pledge cards and your Tally Sheet in the pre-addressed envelopes to the Arts and Education Council. Be sure to keep a copy of each Tally Sheet for your records.
▪ Friendly reminders to turn in pledge cards will help you reach your goal. Voice mail, e-mails, verbal announcements, personal follow-ups or reminder notes help get the job done.
Post-Campaign
It is helpful to consolidate all campaign materials and to write a brief summary to help you plan for next year’s campaign.
Ensure that you have retained a copy of all tally sheets for your records and then send all remaining tally sheets and contributions to the Arts and Education Council in the pre-addressed envelopes provided in your campaign kit
