2015 Tuition Fee Payroll Deduction Procedures
Domestic Graduate Students
Students receiving award money that covers all or most of their tuition fees are not eligible for this payment option
(e.g. Graduate Support Initiative award).
Tuition Fee Payroll Deductions are available to Graduate students that are:


employed as Teaching Assistants, Research Assistants, or
recipients of External Graduate Awards (e.g. NSERC, SSHRC)
Application deadline dates are as follows (submit one application per session):
2015 Summer Session:
Term 1 May - June: April 1, 2015
2015/16 Winter Session:
Term 1 (Sept. – Dec.): Aug. 14, 2015
Term 2 (Jan. – April): Dec. 1, 2015
No exceptions to these deadlines can be made
Teaching & Research Assistants:
Complete a Tuition Payroll Deduction/Fee Deferral application form. This form can be downloaded from the web at:
http://students.ubc.ca/enrolment/records/forms

If you are unable to download the form you can pick one up at the Enrolment Services Info Centre, Concourse
level, Brock Hall. A separate application is required for each session (Winter/Summer).

Attach a copy of your “Student Appointment or E-PAF form” (available from your Graduate Secretary). Letters
are not accepted.
3.
Drop off the Tuition Payroll Deduction/Fee Deferral Application along with a copy of your Student
Appointment or E-PAF form to Enrolment Services Info Centre, Concourse level, Brock Hall. Ensure that you
submit your application by the due dates indicated above. Incomplete applications will not be processed.
**Please note you may apply for both Winter Term 1 and 2 Payroll Deductions in August provided that your
appointment covers both terms**. If deductions are requested for both terms but the “Student Appointment” only
covers one term, only the term that the appointment covers, will be processed.
Students with External Graduate Awards:
1.
Complete a Tuition Payroll Deduction/Fee Deferral application form available on line:
http://students.ubc.ca/enrolment/records/forms and submit it to the Faculty of Graduate Studies by the
deadline dates indicated above. If you are unable to download the form you can pick one up at Student
Information Services, Concourse level, Brock Hall.

Students must also submit an External Graduate Award Activation Form to the Faculty of Graduate Studies.

Only one Tuition Payroll Deductions/Fee deferral Application is required for the duration of the scholarship.
Additional Information:

Please inform Student Information Services and Payroll of any changes to your SIN number. Failure to keep
your SIN updated can result in no deduction being taken from your paycheque resulting in outstanding fees.

It is the students’ responsibility to ensure that the proper deduction amount is being taken off their paycheque.
If the full amount is not deducted then the student is responsible for paying the remaining amount through
normal channels. To find out how much each deduction should be, simply divide your total owing, tuition and
student fees, for each term by 6 (note Summer Session has only 4 deductions).

Summer Term 1
May 15
June 15
May 31
June 30
Note: The July and August Upass assessment will not be paid through payroll deductions. These fees will remain
due on July 6th.
