Job Announcement: Executive Assistant Status: Full-time (40 hours/week), Non-Exempt Schedule: Generally this position follows RACC office hours (M-F, 8:30 AM to 5:00PM), some flexibility is required Supervisor: Executive Director Compensation: $19-21/hour; plus benefits Who we’re looking for The Regional Arts & Culture Council (RACC) is seeking a new team member with strong organizational skills to primarily support RACC’s Executive Director as well as RACC’s Director of Operations, Director of Community Engagement and Director of Arts Education (as needed). As the Executive Assistant, you’ll work with a team of creative and committed arts advocates in a collaborative and goal-oriented environment. Essential functions and responsibilities: Assist the daily operations of RACC’s Executive Team by scheduling meetings, preparing meeting materials, keeping track of projects, and supporting several RACC committees. Monitor and support all communications and activities related to RACC’s Board of Directors (25 members), as well as RACC’s Leadership Development Committee and Executive Committee o Examples of tasks: tracking of board recruitment, correspondence, meeting scheduling, board document recordkeeping. Take notes at weekly internal meetings with directors, track and implement action items. Coordinate meetings for the ED with board members, elected officials & arts leaders. Take accurate, concise meeting minutes for at least three monthly meetings. Design RACC’s annual State of the Arts PowerPoint presentation and help devise talking points for RACC’s ED and board chair. Plan the annual RACC board retreat, Individual Artist Fellowship reception and other social gatherings. Interface with stakeholders, elected officials, and other community leaders and serve as an advocate for RACC. Provide backup support for the Office Manager with mail processing, phones, reception, office troubleshooting, etc. Revised 2/10/2016 Required knowledge, skills and abilities: Bachelor’s degree or equivalent work experience. A strong interest in arts and culture. A commitment to equity, diversity and inclusion is a plus. Excellent written and verbal communication skills, exhibiting a professional and courteous demeanor. Ability to self-start and perform work assignments with little direction. Well-versed in managing and reviewing multiple calendars, identifying scheduling conflicts and anticipating Directors’ needs. Comprehensive computer skills in Microsoft Word, Excel, Outlook, PowerPoint and basic database knowledge. Ability to establish and maintain strong relationships with board members, public officials, partner organizations, vendors, and community leaders. Willingness to support the whole organization as needed. Experience with creating moderately complex documents. Ability to prioritize tasks and manage workloads within set timelines. Experience with planning events and managing projects. Experience in working with non-profit organizations, businesses and government agencies. About the Regional Arts and Culture Council RACC receives funding from a variety of public and private partners to serve artists, arts organizations, schools and residents throughout Clackamas, Multnomah, and Washington counties. RACC advocates for public and private investments in the arts, provides grants for artists and arts organizations, manages public art, raises money through workplace giving, conducts arts education in public schools, and provides technical assistance and networking opportunities for artists.
